About the role

We are looking for a Project Administrator who wants to contribute to a long-term and important development program within community infrastructure. You will have a central and supportive role where you take responsibility to ensure that program and project managers receive the right support to drive the work forward efficiently.

You will work closely with project and program management and become a key person in maintaining administration, documentation, and meeting structures, always focusing on quality, service, and structure.

Your main responsibilities

• Create order and clarity through structured and meticulous administration

• Coordinate and administer internal and external meetings and take minutes

• Assist with reporting, follow-up, and financial administration

• Register and manage decisions, cases, and documentation in support systems

• Ensure effective routines for communication and information flows

• Support the program manager in developing and streamlining processes and administrative methods

• Contribute to good collaboration between internal and external stakeholders

Qualifications & characteristics

To succeed and thrive in the role, we see that you have:

• Completed secondary education

• At least 3 years of experience working independently as a program or project administrator in a supportive role to project or program managers.

• Experience from larger construction or infrastructure projects, where you have collaborated with several internal and external stakeholders and worked under high demands on timelines and safety

• Good familiarity with case and document management systems

• Ability to plan and prioritize, with an eye for detail and structure

• Very good communication skills in Swedish, both spoken and written

• A humble and collaborative attitude as well as the ability to build good relationships

Meritorious:

• Post-secondary education of at least three years

• Experience working in the public sector

• Experience with the project tool Antura or similar systems

Location: Sundbyberg Remote: 50% remote Start: February 2, 2026 End: February 1, 2029 Extent: Full-time 100%

The role is long-term with the possibility of extension and requires a security clearance. Travel within and outside the country may occur.
