Administrative Officer at the Agency for Participation

The Agency for Participation, MFD, has a significant and important mission to ensure that people with disabilities can participate in society on equal terms with others. The agency is growing, and we are now recruiting a new colleague to the Department for Operational Support.

The department provides support to managers and employees in matters concerning HR, internal governance and control, finance, procurement and contracts, administrative law, IT/telephony and information security, registration, reception and premises, as well as meeting coordination. You will have many internal and external contacts and handle various issues concerning both the department and the entire agency. You will play an important role and have the opportunity to independently develop both working methods and routines in an effective and smart way.

Job Responsibilities

The role of administrative officer at the agency is versatile and varied. This means that you will be responsible for carrying out your tasks resource-efficiently and with a high sense of service and quality in a self-directed and solution-oriented manner.

Your responsibilities include:

  • Booking, practically planning, and coordinating the agency's internal and external meetings and events.
  • Providing support and information to suppliers and participants before and during meetings as needed.
  • Providing administrative support in invoice management and other finance-related administrative tasks.
  • Assisting with certain HR administration.
  • Acting as a contact person for the agency's office service suppliers.
  • Assisting the agency with various practical tasks related to the agency's meetings and events, both internal and external.
  • Providing support to employees with disabilities in various administrative and practical tasks as needed.

We actively work to develop our working methods to be agile and trust-based. Working in effective teams is an important part of this work.

Qualifications

We are looking for someone who has:

  • Documented education that the employer deems relevant for the position. Academic education is an advantage.
  • Several years of experience in administrative work, such as establishing, structuring, and managing various documents and records, performing finance and HR administrative tasks, as well as planning, holding, and coordinating various supplier contacts.
  • Experience in planning and coordinating internal and external meetings and events.
  • Very good ability to communicate in Swedish both verbally and in writing.
  • Experience with the Microsoft Office suite, particularly Excel and Word.
  • Experience with IT systems, such as payroll and/or invoice management systems.
  • Experience using and managing digital meeting tools, such as Zoom and Teams.

Personal Qualities

To thrive in the role of administrative officer at MFD, it is important that you are structured, solution-oriented, and highly service-minded. You have an eye for detail, the ability to plan and organize both large and small tasks, and the ability to handle multiple tasks simultaneously, sometimes under time pressure. It is an advantage if you enjoy improving and streamlining work routines and methods.

Since the position involves many contacts, both with colleagues and external parties, you need to be communicative and have an easy time collaborating with others.

Meritorious

  • Experience in administrative work within public administration, preferably in the state sector.
  • Experience with Visma Proceedo, Primula, and/or Public 360.
  • Experience providing practical, collegial support to people with disabilities.

The mission of MFD is to promote accessibility in society to increase participation for people with disabilities. The goal is a sustainable society designed based on people's different conditions and needs.

Since April 1, 2024, we are also responsible for the state guide dog operations according to the Act (2023:692) on the right to guide dogs. Read more about MFD's activities here.
