The position is a consulting assignment lasting 6 months with good opportunities for extension or a permanent position at Transcom. The assignment is expected to start immediately, but the position may be filled earlier.

About the Position

As a Corporate & Office Administrations Coordinator, you will have a dynamic role with great variation in tasks and freedom under responsibility. You will act as both an internal and external coordinator and be an important contact point for visitors, employees, and clients, which requires a high level of service.

Your Main Responsibilities

  • Be a welcoming face for both internal employees and visitors.
  • Be responsible for conference preparations for larger meetings as well as purchasing and planning internal and external gatherings.
  • Handle practical arrangements for new hires at Transcom such as access and preparation for training.
  • Drive, coordinate, and maintain the office and participate in workplace safety efforts to ensure a neat and professional standard.
  • Administer invoices and assist with requisitions, receipts, and invoice inquiries.
  • Maintain contacts with suppliers, such as security companies and cleaning services.
  • Handle mail and deliveries as well as travel bookings, including transport and accommodation for employees.
  • Coordinate the process for the annual general meeting and signing of the company's annual report, as well as support local units as needed.
  • Provide legal administrative support, including scanning and archiving documents, signature management, and coordination of legal validation/notarization/providing apostille/translation of various documents.
  • Support corporate functions (legal, treasury, finance) and local organizations as needed.
  • Assist in planning and coordinating board and board committee meetings.
  • Monitor the process for annual general meetings and board meetings and coordinate the signing of annual reports.
  • Coordinate the process for the annual general meeting and signing of the company's annual report, and support local units as needed.
