Administrative Officer at the National Transport Unit

The Swedish Prison and Probation Service is growing – we are building new, renovating, and expanding, and we are now looking for more employees. We are now looking for someone who wants to work as an Administrative Officer with us at the National Transport Unit - Planning Section South. The work location is Arvidsjaur, alternatively Stockholm or Malmö. The position involves some travel, and if you are based in Stockholm or Malmö, you need to be able to travel to Arvidsjaur regularly.

JOB RESPONSIBILITIES

In the role of administrative officer, you will handle incoming mail and email, as well as the administration of cases and documents, such as referrals and transport documents. You will be responsible for the registration of cases and documents. You will manage the administration of the section's internal website (Krimnet) and be responsible for meeting administration within the section. You will conduct self-checks within the section's area of responsibility and support the section manager with preparatory administration in the area.

Furthermore, you will handle inquiries from the public, other authorities, and the media regarding access to public documents. You will support and train internal employees in handling documents, registration, and the use of digital tools. Additionally, you will actively participate in the unit's development and quality assurance work.

QUALIFICATIONS

The work as an administrator is a service and quality assurance function. In this position, you need to be meticulous, able to work both independently and in close collaboration with others within the section and unit, as well as with other actors both within and outside the authority. You work well with others. You are calm, attentive, and accommodating in your interactions. You make correct assessments and prioritizations and are self-driven. You easily adapt to changing circumstances. You take initiative, start activities, and achieve results.

We are looking for someone who has:

• Relevant education or other education combined with experience that the Swedish Prison and Probation Service deems relevant.
• Experience working as an administrator within public administration.
• Very good knowledge of expressing oneself well in speech and writing in Swedish.
• Very good computer skills and the ability to work in Word and Excel.
• Knowledge of a document and case management system.

Experience in the following is meritorious:

• Experience in registration and handling of public documents.
• Experience working within the Swedish Prison and Probation Service.
• Experience working with document and case management systems.
• Experience in educational work.
• Knowledge of regulations for handling public documents.

About the Workplace

The task of the National Transport Unit (NTE) is to transport detained persons. This primarily includes clients from the prison and probation service between remand centers and prisons, as well as to court hearings, medical visits, etc. NTE also transports detained persons for example for the Police, the National Board of Institutional Care, the Migration Agency, and psychiatry.

The position is classified in a security class, and a security clearance including a security interview with a background check will be conducted before a hiring decision is made.
