As an assistant to the Head of Administration and the Head of the Office of the Head of Administration, you will support with various administrative tasks and serve as a contact person for the operations internally within the Government Offices and externally.
Examples of tasks include:
- responsibility for meeting bookings and coordination of the calendars of the Head of Administration and the Head of the Office
- managing meeting logistics (booking rooms, receiving visitors, ordering refreshments, etc.)
- providing administrative support, materials, and minutes during various meetings
- responsibility for preparation lists in collaboration with others
- compiling informational materials
- acting as a contact person for the units of the Administration Department and other ministries
- managing external contacts
- providing administrative support to the Office of the Head of Administration
- assisting in the handling of disclosure cases
The Head of Administration assists, together with the Prime Minister's Secretary of State and the Legal Advisor in the Office of the Prime Minister, the Prime Minister in the ongoing management of the Government Offices. The Head of Administration is also the head of the Administration Department. The Office of the Head of Administration assists the Head of Administration both in their capacity as Head of Administration in the Government Offices and as the head of the Administration Department.

Your background
We are looking for someone with several years of experience working with qualified administrative support for management in a government agency, as well as experience working with a range of administrative tasks including case and decision management and travel administration. You also have experience working in a role with many contacts. To succeed in this role, you need to have excellent knowledge of Swedish and English (spoken and written), good knowledge of digital tools and the Office suite, particularly Word and Outlook. Experience working in the Government Offices and knowledge of the organization and working methods of the Government Offices is an advantage. Experience in developing administrative routines and processes, for example, by participating in development projects, working on the digitalization of administration and/or streamlining administrative routines and processes is also advantageous.
Your qualities
You are service-oriented, have a strong drive, and a flexible approach. You take responsibility for your tasks and ensure quality by working in a structured manner and being meticulous. The work requires a high degree of flexibility and a good ability to quickly adapt to changing conditions. You have excellent collaboration skills and find it easy to create, maintain, and develop relationships. You are used to working independently while also appreciating collaboration with others. A very good judgment and high integrity are prerequisites for you to thrive in this role.

The employment is a temporary position for approximately one year with the possibility of extension. The position is classified in a security class, and a security clearance with background check will be conducted before a hiring decision is made. You must be a Swedish citizen, but having a foreign background is welcome.
