JOB RESPONSIBILITIES
As an administrator, you play a significant role in developing the business and contributing to well-functioning workplaces by providing administrative support to the CEO, management, managers, and operations. We offer a varied role with many points of contact where you are part of achieving Vidingehem's goals and vision.
You will report to the head of the finance and business support department and will primarily be responsible for and work with the following:
- Assist and support the CEO, management team, and managers as needed in relevant tasks
- Manage orders and deliveries of phones and computers
- Budget responsibility for the operational offices' equipment and ongoing practical functions, including furnishing common areas, liaising with suppliers, and managing orders
- Be responsible for the practical function and order of Vidingehem's headquarters
- Manage pool cars
- Purchase consumables for operational offices
- Diary and mail management as needed
- Crisis plan (structure, coordination, updating)
- Be responsible for handling related to ID06
- Support the business with travel and training orders
- Manage and plan staff and welfare activities and common gifts for staff
- Other administrative tasks and support for the business as needed
To succeed in this role, we see that the work is performed on-site, based at our headquarters. The position is a temporary contract.
QUALIFICATIONS
We are looking for someone with post-secondary education in finance/administration or equivalent and several years of experience in an assisting role towards managers and operations or equivalent. Furthermore, you have documented experience in formulating and summarizing messages and texts in Swedish.
You are a pronounced service-oriented person and have the ability to handle and structure support for different parts of the business through a professional approach. As a person, you are proactive, responsible, and self-driven, with the ability to stay one step ahead. You value and contribute to good collaboration with those you come into contact with in your role. You have an understanding of handling sensitive information and discretion.
You have good knowledge of the Office suite and experience working with web tools. It is an advantage if you have knowledge of working in various management and operational systems such as CRM. Furthermore, you have good knowledge of Swedish in both spoken and written form.
A B driver's license is a requirement. We place great emphasis on personal suitability.
OTHER
As a permanent employee, you will typically be assigned to a military position within our organization.
