Your mission

In the role of Practice Group Support Coordinator, you will have a broad and varied role where you will support two groups within Vinge - Financial Services & Corporate Insurance. You will play an important role in ensuring that projects run smoothly by assisting with administration, coordination, and document management, as well as having broad contact points, both internally and externally. The groups consist of a total of 15 colleagues, and you will work closely with all of them, with an approximate distribution of 50/50 support to the groups.

Here you will join two well-functioning groups with a strong sense of community where everyone strives to move forward together. The groups have a high work ethic, and you will have the opportunity to develop in an inspiring environment.

Examples of tasks:

  • Contact with authorities via phone and email
  • Formatting contracts and documents in Word
  • Handling and coordinating deliveries
  • Client and case management in Vinge's internal case management system
  • Proofreading contracts and other documents
  • Coordinating and administering pitches and CVs
  • Translations, from Swedish to English and vice versa
  • Preparing materials for meetings
  • Booking meetings, kick-offs, conferences, and travel (including visas and other travel documents)

You will belong to an administrative team with other colleagues in similar roles and have meetings on a daily basis, but you will spend most of your time in the Financial Services & Corporate Insurance groups, alongside partners, counsel, and junior lawyers.

You will work at Vinge's beautiful and modern office at Smålandsgatan 20 in central Stockholm. Working hours are varied, and you are expected to adjust your working hours according to workload. The guidelines are 08:30-17:00, but you are expected to work overtime both in the evenings and on weekends when needed, so you need to be comfortable with that.

Your background

To succeed in the role of Practice Group Support Coordinator, you have at least five years of experience in administrative work, preferably from a similar role where you have worked in a supportive capacity. You thrive in a coordinating and administrative role where you support multiple colleagues, while also having a very good habit of working proactively and seeing what needs to be done before anyone asks you. You have a good ability to prioritize and can adjust your work when necessary. Furthermore, we see that you are fluent in Swedish and English, both spoken and written, and are pedagogical and clear in your demeanor.

You have excellent system skills, primarily within Office 365, and a strong ability to quickly familiarize yourself with new systems. We see it as very positive if you are interested in the industry and willing to learn.

Meritorious:

  • Experience from the insurance industry, banking and finance, law firms, and/or private equity companies.
  • Post-secondary education, preferably focused on languages, economics, and/or administration
  • Experience in a service role
  • Experience in supporting other individuals
