We are looking for an engaged and detail-oriented department administrator for a parental leave replacement. You will play a key role in supporting the Department of Computer Science and Engineering with efficient and effective administrative services.
About the Department
CSE (https://www.chalmers.se/institutioner/cse/) is an integrated department between the University of Gothenburg and Chalmers University of Technology, located on the Johanneberg and Lindholmen campuses in Gothenburg. Its activities encompass high-quality research, education, and utilization in areas such as AI & machine learning, software & hardware engineering, computer science, security, network & systems. The organization consists of approximately 350 employees with a high international composition, including individuals from over 50 nationalities.
Job Description
As an administrator, you are a key person handling everything from routine tasks to urgent issues that need immediate resolution. In this role, you will support one of our scientific departments with personnel administration, orders, workshops, travel, guest management, academic ceremonies, and more.
Since the operations are integrated, you will be active within both the University of Gothenburg and Chalmers University of Technology, as well as at both our Johanneberg and Lindholmen campuses. Your primary workplace will be at the Lindholmen campus. In this role, you will actively network both within the department, the institution, and the two main host organizations. We also expect you to work together with your colleagues to develop our routines to ensure a high level of service both internally and externally.
Your responsibilities include, but are not limited to:
- Onboarding of new employees
- Booking and ordering related to academic ceremonies
- Document registration, archiving, and possibly minute-taking
- Purchasing
- Responsibility for the administration of conferences and meetings
- Booking of travel and hotels for both employees and external guests
- Economic administration, such as honorarium invoices and invoice coding
- Reporting defects in facilities, etc.
The tasks may vary depending on needs.
Employment Type
Fixed-term employment in the form of a parental leave replacement on a full-time basis for approximately one year, starting in October 2026 or as agreed.
Qualifications
We are looking for you who:
- have at least a high school education, but preferably higher education (or equivalent)
- have several years of experience in administrative work
- have good computer skills
- are proficient in using the Office suite
- communicate well in both Swedish and English, as we operate in an international environment
It is an advantage if you have:
- experience in similar tasks within the public sector
- knowledge of Agresso, Proceedo, Primula, or other related systems used by the University of Gothenburg and Chalmers
