We are currently looking for an Assistant for Unit Kungsparken, where you will have the opportunity to work in a smaller team with the chance to both contribute to collaboration and independently manage parts of your work. You will play a key role in the operations and have good opportunities to influence and develop working methods together with your colleagues.

Job Responsibilities

As an Assistant, you will provide important administrative support to the section managers. Tasks may include invoice processing and ordering, registration in personnel, finance, and operation systems, diary management, taking minutes, and direct procurement.

You will work within Malmö City's internal systems, where all employment records, attendance, and absence are logged, forming the basis for salary payments to the unit's employees. You will also be involved in the future development of the resource area.

The role also includes responsibility for generating statistics and summaries, supporting section managers in recruitment, and acting as a contact person for other departments and external suppliers. You will work in a team with other administrative assistants at the same level. Duties also include booking premises, placing orders, administering phone lists for resource areas, compiling the management group's agenda, and administering training. Some tasks may involve handling cases, so you must have a manual driver's license and be comfortable cycling.

Qualifications

We are looking for someone who has

  • A three-year upper secondary education with a focus on administration or economics
  • Previous experience as an assistant or administrator
  • Previous experience working with financial administration, such as invoice processing
  • Good computer skills and the ability to quickly learn new digital programs and systems
  • Previous experience working in administrative systems, such as finance and personnel systems
  • Very good knowledge of Swedish, both spoken and written
  • Manual B driver's license
  • Ability to cycle

Merits if you have

  • Post-secondary education in economics, administration, or another relevant field
  • Previous experience with relevant IT systems, such as Hrutan, Ekot, Medvind, ReachMee, Microsoft 365 (Excel, etc.)
  • Experience from the care and social services sector
  • Experience from municipal operations

About the Workplace

Approximately 550 employees work at Unit Kungsparken, mostly assistant nurses and care aides, but also assistants, IT administrators, and section managers. The unit consists of twelve home care areas, seven located at Erikslust and five at Västra Kanalgatan. In your daily work, you will operate from both Erikslust and Västra Kanalgatan, both of which are easily accessible by public transport.
