Description of the operations

The position is located at the institutional office of the Malmö Academy of Music, which, together with the technical unit (backstage), provides operational support to management, students, teachers, and researchers. The organization of the Malmö Academy of Music is under development, with a new management structure for undergraduate education coming into effect this autumn. The development work includes administrative functions and an enhancement of management support. Consequently, job duties may change to some extent.

Job Responsibilities

The new role as a case handler at the Malmö Academy of Music will form a central part of the institute's management support. Together with management and colleagues, you will work on planning, implementing, and following up on operations. You will prepare and compile various types of documents and play a key role in ensuring the institute's public authority duties regarding quality, continuity, and legal certainty. Your main responsibilities will include:

• Providing qualified support to the dean and the management group. You will contribute to developing structure and order for the institute's management meetings and case handling.
• Serving as a case handler and secretary in the institute board and preparatory bodies.
• Overall responsibility for the diary and archive management.
• Providing qualified support to the Deputy Dean for Research and Graduate Education, including case handling and secretarial functions in the doctoral and graduate education committee. This area also includes some support in application processes for research funding and grant information.
• Overall responsibility for practical arrangements for doctoral defenses, licentiate, and stage seminars.

Qualifications

Requirements for the position are:

• A university degree at least at the bachelor's level in political science, law, administration, or another direction deemed suitable by the employer.
• At least two years of experience in qualified case handling and educational administration from work in management support within higher education, including experience in producing decision-making materials, investigations, and formal letters.
• Experience in coordinating tasks within the university and higher education sector.
• Excellent linguistic skills in Swedish and English.
• Very good ability to express yourself in a well-structured, objective, and target-group-adapted manner in writing.
• Extensive experience in adapting your oral communication based on the recipient, context, and purpose, including experience in presentations and lectures in preparatory and decision-making bodies.

Merits for the position include:

• Experience in project management or project coordination within universities or colleges.
• Experience in providing support within research and graduate education.
• Knowledge and experience of artistic education, preferably music and/or music pedagogy.
