The Document Management Department at the Headquarters (HKV DokhA) is now looking for two careful and responsible registrars who wish to play a central role in the Swedish Armed Forces' document management. The department's task is to support the Swedish Armed Forces Headquarters in its official duties with continuous document and case management, with the task of reporting, handling, and making public records available today, tomorrow, and over time. The Swedish Armed Forces' document management covers all handling of public records regardless of format and classification level along the entire readiness spectrum from peace to crisis to war, both nationally and internationally.
HKV DokhA consists of a department divided into 6 sections; Expedition L24, Expedition Three Services, Expedition V117, International Expedition, Archives, and Transport Section.
About the position
As a registrar at the Swedish Armed Forces Headquarters and International Expedition, you will play a central role in our document management. You will handle incoming and outgoing documents, ensure they are handled correctly, and ensure that the right information is in the right place at the right time. You will help ensure that our processes follow current laws and regulations, and that sensitive information is handled correctly. You will also provide support and service to case handlers in document management issues and staff our internal customer desk. In addition, you will handle inquiries from the public and work with other common tasks in the department.
Main tasks
- Registration and diary entry of incoming and outgoing documents
- Ensure that documents are handled in accordance with the Public Access to Information and Secrecy Act
- Work with some archiving
- Participate in the development of routines and processes for document management
Qualifications
- Experience working as a registrar or in administration, or alternatively has other experience that the employer considers equivalent
- Very good computer skills
- Very good ability to express yourself in speech and writing in Swedish and English
- Ability to work in a structured and careful manner. Occasionally under stress
- Category B driver's license for manual transmission
Meritorious
- Experience of similar tasks, especially within the Swedish Armed Forces.

Work location: Stockholm, Lidingövägen 24
Permanent employment with a six-month probation period.
Travel in the service occurs, mainly within Sweden.

Information about the recruiting unit: The Commander-in-Chief and the Director-General are located at the Headquarters. The Headquarters has approximately 1,000 employees – both professional officers and civilian experts. As of 2023-01-01, the Headquarters consists of the Defence Staff, the Operations Command, the Military Intelligence and Security Service, as well as the Headquarters' Staff Department and independent oversight units. Employment with us involves placement in a security class. Swedish citizenship is usually required. Security clearance with background check will be conducted prior to employment according to Chapter 3 of the Security Protection Act. Employment entails an obligation to be war-placed.
