dSPACE is a leading technology company specializing in simulation and validation solutions for the development of connected, autonomous, and electrically driven vehicles. The company offers products and services used to test and quality-assure advanced features within the automotive industry, aerospace industry, and other high-tech areas. In addition to automotive development, dSPACE is also involved in exciting projects within space technology and industrial automation, primarily through its operations in Germany.

The Stockholm office is located in Danderyd, where you will become part of an engaged and competent team that works closely together and values helpfulness, quality, and long-term relationships.

Your Responsibilities

As a Sales Assistant, you play a central role in the business by ensuring that administrative processes regarding sales, order handling, and deliveries run smoothly. You support the sales team in their daily work, assist the finance department with administrative tasks, and contribute to making the office a welcoming and well-functioning workplace. This is a broad and non-hierarchical role suited for someone who likes to take initiative, create structure, and help out where needed.

Your responsibilities will include, but are not limited to:

  • Managing the Sales inbox and distributing incoming inquiries
  • Preparing simple quotations
  • Handling administration after quotations are submitted
  • Preparing billing documentation and following up on reported consulting hours
  • Following up on deliveries and ensuring correct invoicing
  • Compiling information related to order and sales history
  • Maintaining and updating price lists
  • Managing evaluation licenses
  • Booking transport and freight
  • Booking travel, hotels, conference rooms, and other practical arrangements
  • Ensuring the office runs smoothly through material purchases and contact with cleaning companies, property managers, and other suppliers

Your Profile

We are looking for you who are a real doer – someone who enjoys taking responsibility, getting things done, and creating structure in everyday life. You may have previous experience in a Sales Assistant role, but this is not a requirement. Most importantly, you have experience in service, administration, and customer contact, and are eager to develop in a broad coordinating role.

To thrive at dSPACE, you need to be non-hierarchical, helpful, and flexible. You see what needs to be done and are willing to take initiative without waiting for instructions. At the same time, you are meticulous in your work and understand the importance of getting information, prices, deliveries, and administration right.

The role involves many contact points, both internally and externally, which means you need to be communicative, service-oriented, and responsive. Since you will be in contact with international customers and colleagues, you need to feel comfortable communicating in both Swedish and English, both verbally and in writing.

Success Factors

  • Experience in sales administration
  • Experience in similar work within administration or service
  • A structured and meticulous working method
  • Strong communication skills and experience with customer contact
  • Technical background or technical interest
