Do you want to contribute to one of Sweden's most extensive and socially critical airport expansions? We are now looking for a structured and service-oriented Procurement Coordinator for Swedavia's T5 PBI+ program at Stockholm Arlanda Airport.
This is a long-term consulting assignment where you will play a central role in supporting major infrastructure projects with financial administration, invoice processing, and follow-up – in an environment where precision, structure, and collaboration are crucial.

About the roleAs a Procurement Coordinator, you will work at the program level and serve as a key administrative support for the entire T5 PBI+ program. The role involves handling and following up on invoices, ensuring correct accounting coding and approval workflows, and supporting the project organization in ordering and procurement processes.
You will work closely with the program coordinator and project controller, acting as a reference point in the invoice flow. A key part of the assignment is to ensure that invoices are handled correctly, that documentation is complete, and that cost tracking is conducted in a structured manner.
The assignment is carried out on behalf of Swedavia and is located at Stockholm Arlanda Airport. You will be employed as a consultant via Poolia, with the assignment starting in September 2026. We foresee the assignment becoming full-time in the long run, but initially during autumn 2026, we estimate the scope to be 50%. You will be working towards Arlanda and are expected to be on-site 80% of your working hours. The assignment may be extended after 2028-09-30, with two options of 12 months each.
We prefer that the consultant can work as a sub-consultant in the assignment.
Your main responsibilitiesIn the role, you will among other things:
Handle invoices including coding, approval workflows, and follow-up
Ensure correct handling of invoice documentation, such as journals and project documentation
Follow up that project members review and approve invoices in a timely manner
Administer and handle procurement and order documentation
Track accrued costs related to consultant procurement
Compile procurement and cost reports at the program level
Support project managers, program coordinators, and project controllers with financial administrative matters
We are looking for you who have several years of experience in administrative work, preferably in roles such as financial assistant, administrator, or similar. You are familiar with invoice processing and have a good understanding of financial flows in project environments. You have good knowledge of Microsoft Office and experience with business systems (IFS is advantageous). You have good proficiency in Swedish, both spoken and written.
You are precise, structured, and self-initiating, while also having a high service level and enjoying working with many contact surfaces. You have an aptitude for creating order in complex flows and ensure that processes are followed in a correct and efficient manner.

The assignment is located within a security-classified operation at Arlanda and requires approved security clearance, including register checks. Security interviews and other background checks may be part of the process.
