The Division for Educational Support is one of eight divisions within the university's shared support services. The division consists of approximately 40 employees divided into three groups: the Student Support group, the Admissions, Graduation, and University Administration group, and the Educational Administration group. We are currently looking for you who want to become part of the Educational Administration group.
We are a friendly team of 19 employees. In the Educational Administration group, we work with study administration, exam coordination, Ladok/UBAS, and VFU (Work Integrated Learning) coordination for teacher education. In all areas of operation, there is continuous development work underway, with our current focus on digitalization and simplification. Therefore, we are looking for you who are driven by development work and have an easy ability to see opportunities instead of obstacles. The Educational Support Division aims to be a good collaboration partner for the university's program areas, with the goal of always contributing to high-quality education and achieving the desired level of graduated students. We support the programs and students and tailor our efforts to their needs to help them reach their goals.

Responsibilities
At Kristianstad University, all classroom examinations are centrally coordinated by our three exam coordinators. Currently, we have approximately 1,000 exam occasions per year for around 20,000 sitting students. There is currently a large and exciting development project within the exam operations, where we focus heavily on digital classroom exams while simultaneously developing and improving current routines for classroom exams and exams at other locations.
As an Exam Coordinator, you are responsible for the planning, organization, scheduling, and administration of the university's exam operations. The duties include, among other things, booking exam rooms, scheduling exam invigilators, and administering exams at other locations. You handle ongoing cases via email and case management systems, coordinate targeted pedagogical support before exam occasions, and are responsible for coordinating university admission test occasions. The role also involves participating in the recruitment and introduction of new exam invigilators, as well as conducting information sessions for invigilators, students, and teachers. You will work actively to develop and streamline processes, workflows, and related systems, and provide training for teachers on the digital systems used in exam administration.
As an Exam Coordinator, you collaborate with many different professional groups and, together with your colleagues, are responsible for the planning and execution of exam occasions in a legally secure manner with high quality. The work is characterized by clear timeframes and recurring deadlines where many processes need to be coordinated and executed on time. Therefore, you must be structured, have good prioritization skills, and be able to handle situations where conditions change rapidly. The role involves continuously solving practical and administrative challenges, which requires a solution-oriented approach, good judgment, and the ability to make well-founded decisions even under time pressure.
Qualifications and Requirements
We are looking for you who have a high school diploma with experience of higher education studies. You should have experience in administrative work in a deadline-driven environment. If you have experience working in comparable operations within the public sector as well as experience in exercising authority, we consider this advantageous. Furthermore, you must have experience in scheduling and in the further development of processes, workflows, and related systems.
Kristianstad University has English-speaking staff and students, which requires good knowledge of both Swedish and English. You have very good computer skills and extensive experience working in various systems. Experience working with student documentation systems (Ladok), exam tools (Inspera), and scheduling tools (Kronox) or other corresponding systems is a merit.
Great importance will be placed on personal qualities. Since you will be part of a service function, we are looking for you with a pronounced service orientation who is meticulous and quality-conscious. Furthermore, you need to be responsible and have the ability to make decisions based on existing routines and regulations. Since you collaborate with many different functions within the university, good teamwork skills are required both within and outside the immediate work group, as well as the ability to communicate in a trustworthy manner.
Other Information
The position is a temporary assignment of 60–80% for up to 2 years, subject to agreement. The location is in Kristianstad at our beautiful campus with good bus connections and parking facilities. The majority of exam occasions fall on weekdays, but planning for evening and weekend exams may occur. Exam coordinators may then need to be on standby to support exam invigilators.
