This position will be based at the Umeå Marine Research Centre (UMF), a unit within Umeå University located in Norrbyn, just 40 km south of Umeå. UMF's strategic mission focuses on research, education, environmental monitoring, and public engagement. Particularly relevant for this position is that UMF's area of responsibility includes the Arctic, sub-Arctic, and extreme environments, where warming in the former occurs up to three times faster than the global average. Additionally, UMF has world-class research infrastructure and platforms, including mesocosms, research vessels, and a scientific diving team. More information can be found here (#).

Job Description
This is an exciting opportunity to support the operations and development of UMF as part of our ongoing transformation initiatives. Are you a service-oriented and independent administrator who enjoys varied tasks?
Responsibilities
As an administrator at UMF, you will work with various administrative tasks. These are varied and involve independent work where you need to be able to handle multiple things simultaneously.
- Support the management team and assist with administrative support in various processes and tasks, including event planning, meeting minutes, and document coordination.
- Assist UMF's economist with certain economic administrative tasks.
- Work with finance and HR-related tasks such as travel bookings and follow-up, ordering, and procurement.
- Investigate and ensure that UMF's administrative processes function correctly and that guidelines exist for various administrative processes.
- Manage UMF's calendar, archives, and diary, as well as the Microsoft Teams space.
- Keep UMF's intranet updated.
- Support recruiting managers during the onboarding of new employees (planning and execution).
This may vary over time, and other similar administrative tasks may be included.
Qualifications
- At least a high school diploma or equivalent, along with several years of experience in similar administrative roles.
- Experience working within administrative systems, as well as good oral and written skills in both Swedish and English.
- Detailed knowledge of the Microsoft computer environment.
- Personal qualities required for this position include: service-oriented, solution-focused, independent, proactive, cooperative, flexible, communicative, strong organizational skills, and attention to detail.
Merits
- Experience in administrative work at a government agency and within management and/or various functional groups.
- Experience with university systems including Raindance, Office, Primula, and/or equivalent systems from other companies.
- Technically proficient and has experience working with web tools.
Significant weight will be placed on personal suitability.
Conditions
The position is full-time and fixed-term for 11 months. Expected start date is August 2026 or as agreed.
