We are looking for an experienced Data Coordinator for a long-term full-time assignment within public transport infrastructure in Stockholm. This role is ideal for you if you have solid experience in CAD/BIM, technical documentation, drawing management, and coordination in complex project environments – and if you thrive in a central coordinating function with many contact points.

About the Assignment

As a Data Coordinator, you are responsible for CAD and data coordination, document management, and the coordination of technical deliverables related to subway projects. You ensure that technical documentation is handled correctly, structured, and according to established processes, and that documents are available, accurate, and in the correct system.

The work involves both digital and physical documents – construction documents, review documents, handover documents, as well as operation and maintenance data. You will work in the document management systems Athena and Avima, and you will have close contact with project managers, technical specialists, and external design suppliers.

Responsibilities

  • Coordinate digital and physical deliverables of construction documents from design to production.
  • Coordinate the delivery of review documents and collect and compile review comments.
  • Ensure that facility documentation is handled according to defined processes for check-in, check-out, and review.
  • Ensure that the project's technical documentation is correctly uploaded in the document management system and follows the decided folder structure.
  • Coordinate the project's delivery of handover documents and operation and maintenance data to relevant owners.
  • Administer and minute data coordination meetings with design suppliers.
  • Report to the project manager and coordinate work with other project members.
  • Participate in project-related meetings and contribute information regarding documentation, structure, and progress.
  • Coordinate external design suppliers regarding documentation and drawing-related issues.
  • Ensure updated documentation in archives, technical spaces, and relevant documentation environments.

Requirements

Essential Requirements

  • University degree or other relevant education equivalent to at least three (3) years of university studies.
  • At least two (2) years of documented experience from the design process in a client organization.
  • At least two (2) years of documented experience working with CAD and/or BIM as well as modeling programs such as AutoCAD and MicroStation.
  • Experience with CAD coordination, data coordination, technical documentation, and drawing management.
  • Experience with construction documents, review documents, and handover documents.
  • Good understanding of document management according to established processes.
  • Unhindered communication skills in Swedish and English, both spoken and written.

Desirable Requirements

The following experiences are advantageous and highly valued in the evaluation:

  • At least two (2) years of experience in management related to rail-bound traffic.
  • At least two (2) years of experience with systems for handling public records and diaries.
  • Experience with documentation systems such as Athena and Avima.
  • Experience with subway projects or other public transport infrastructure.
  • Knowledge of physical drawing archives and archive structure for technical documentation.
  • Experience with large infrastructure projects with multiple parallel design suppliers.
  • Experience with operation and maintenance data.

Personal Qualities

To succeed in the role, you are meticulous, structured, and proactive. You have an aptitude for creating order in complex information and thrive in a coordinating role with many contact points. You are communicative, solution-oriented, and confident in following up on deliverables, quality, and documentation requirements.

You have good analytical skills and can independently identify risks, deviations, and areas for improvement in documentation flows. At the same time, you are team-oriented and contribute to a professional and efficient working method in the project.

Workplace and Practical Information

  • Full-time, 40 hours per week.
  • Location: Kungsholmen, Stockholm. Remote work may occur upon agreement.
  • Computer and workplace provided. The candidate is expected to have a mobile phone. Protective clothing and shoes may be required for field work.
  • Confidentiality agreement and conflict of interest declaration will be signed before the assignment starts.
  • The assignment may in the future be security classified, which means that a security check may become relevant.
