About the Position

This is a broad and hands-on role for someone who enjoys keeping many different parts together simultaneously, creating structure, and solving problems before they grow. You will become the CEO's right hand and support the operations and management team in their daily work. One moment you are coordinating meetings and priorities for the CEO, the next you are handling administrative processes, customer cases, or internal projects. This role suits you if you enjoy variety, take initiative, and like making things work behind the scenes.

Responsibilities

Close to the CEO and Management

  • Proactively manage and prioritize the CEO's calendar and resolve scheduling conflicts
  • Act as a contact person between the management and internal or external stakeholders
  • Prepare meeting materials and presentations
  • Coordinate and book travel, meetings, and events
  • Handle invoicing, expenses, and basic financial administration

In Daily Operations

  • Handle administrative matters and operational workflows
  • Review and process incoming invoices
  • Support customer communication, technical support, and deliveries to customers
  • Help create structure in internal processes
  • Use digital tools and AI to streamline administration and information flows
  • Be responsible for ongoing office administration

We are looking for someone who

  • Is technically curious and sees AI as a natural tool in your work
  • Has studied or gained relevant work experience in administration, coordination, service, or similar areas
  • Enjoys taking responsibility and has a strong desire to learn and develop
  • Remains calm and structured even when the pace increases
  • Takes initiative and prefers to stay ahead rather than waiting for instructions
  • Is social, communicative, and enjoys collaborating with others
  • Has good knowledge of Gmail, Google Calendar, and Microsoft Office
  • Sees problems before they grow and gladly offers solutions
  • Expresses yourself fluently in both Swedish and English, both verbally and in writing. You will use both languages daily with colleagues and customers

Practical Information

Scope: Full-time

Start: As soon as possible

Location: Stockholm. The role is remote-first, but you must reside in the Stockholm area as some meetings and activities take place at the office.

Salary: 27,000–29,000 SEK/month depending on experience
