We are currently recruiting for a long-term consultancy assignment for an experienced administrator with IT skills.

  • Scope: Full-time 100%
  • Start: Immediately
  • Duration: Until 2027-05-30, possibly longer.

You will be employed by Poolia but work on-site at our client's premises in excellent facilities. Some remote work is possible.

About the role

You will work as support for the department manager, unit managers, and staff members, as well as for your colleagues in the support staff. The support required varies and may include travel bookings, survey distributions, departmental orders, meeting and conference bookings, and simpler personnel administrative tasks.

In addition, you will collaborate with colleagues within the support staff responsible for system administration and controlling, as well as independently manage one of the department's systems. We expect you to be collaborative, communicative, and unpretentious. You thrive in structured environments, have the ability to quickly grasp new issues, and possess a good understanding of learning and independently working with new system support.

Main responsibilities

  • Responsible for obtaining confirmations from other public agencies wishing to join the Swedish National Procurement Agency's framework agreement. Correspondence takes place via web forms, telephone, and email.
  • Administration of the National Audit Office's call-off service for interpretation services, which includes contact with suppliers as well as existing and new users.
  • Booking and planning of conferences, both internal and external, of varying sizes.
  • Assistant to the department manager and, if necessary, unit managers. This may include meeting bookings, contact with external parties, and telephone coverage.
  • Ordering responsibility for the department. All orders go through the department administrator, such as IT equipment and literature.
  • Personnel administrator. The department administrator assists with employee sick leave notifications when needed.

Who are you?

To be considered for the role, you must meet the following criteria:

  • Upper secondary education or equivalent.
  • Very good knowledge of MS Office or equivalent.
  • At least three (3) years of work experience as an administrator or assistant.
  • Fluent in Swedish and English, both spoken and written.
  • Experience in system administration of digital systems and system support, as well as good IT competence.
