We are now looking for an administrator with an executive support role, placed within the Clinical Unit (VE) for Hand Surgery and the VE for Plastic Surgery, with an initial focus on the inpatient ward and operating theatre. We offer a role where you will play a key part in developing and maintaining the administrative support for executives within the department, becoming a close collaborative partner to the unit managers.
The Hand and Plastic Surgery department is located in Malmö and performs highly specialized surgery. We receive patients from Southern Sweden, as well as national and international patients requiring highly specialized surgical care.

RESPONSIBILITIES
As an administrator with an executive support role, you have a central role in the daily support provided to unit managers. You work closely with the operations and need to understand both administrative processes and the needs of daily clinical practice. The work involves providing support in matters concerning personnel administration, HR registrations, scheduling, onboarding of new employees, permissions, meeting administration, and practical coordination. A key part of the assignment is to contribute to continuity. This means you are close to the managers in their ongoing work, able to follow up, remind, and ensure that administrative processes function over time.
In the autumn of 2026, new working methods for scheduling and competence planning will be introduced, including through TESSA. You will have an active role in the implementation by contributing structure, coordination, and support to managers and employees.
The role includes, among other things:
- providing close and continuous administrative support to unit managers in their daily work
- participating in scheduling, holiday, and staffing planning, and contributing to quality and follow-up in these processes
- ensuring correct documentation and registrations prior to payroll runs, such as absence, overtime, allowances, non-standard working hours, and flex-time
- supporting managers and employees with administrative HR matters, routines, and systems
- providing practical support during recruitment, new hires, and offboarding, including employment documents, onboarding materials, and permissions
- ordering, following up, and closing permissions and access rights in relevant operational systems
- planning and coordinating meetings, employee reviews, salary discussions, training days, onboarding sessions, and other recurring activities
- contributing to the follow-up of staffing, absence, holidays, and overtime to support the manager's long-term planning.
QUALIFICATIONS
The position requires a high school education and good proficiency in Swedish. You have good computer skills and the ability to work in various administrative systems. You have very good knowledge of Teams and Outlook, as well as good knowledge of the rest of the Office package, as these tools are central to the daily support for managers and employees. We would appreciate it if you have relevant education in administration, healthcare administration, medical secretary training, nursing assistant training, or other related education.
It is meritorious if you have experience with:
- Administrative support to management.
- Work in healthcare.
- HR administration.
- Scheduling or staffing planning.
- Onboarding of new employees and handling permissions.
- Coordinating assignments in an operation with many contact points.
- Digital development, changed working methods, or implementation of new systems.
We are looking for someone who is genuinely curious about digital working methods and new tools, such as Microsoft Copilot and AI/GPT-based support. You do not need to be an expert, but you must have the willingness to learn and explore how digital tools can contribute to structure, efficiency, and quality in administrative work.
The role requires that you can work independently, have good foresight, and at the same time be responsive to what the operation needs during different periods. It is important to have a service-oriented approach, confidence in interacting with different professional groups, and the ability to contribute to order and continuity in an operation with varying pace. We place great emphasis on personal suitability.
Interviews will be held during weeks 30 and 31.
