We are now looking for an engaged and structured administrator with executive support functions for the Lung and Medical Gastroenterology Department.

The Department of Lung and Medical Gastroenterology belongs to the Business Area (VO) Specialized Medicine 2. The department treats patients with diseases of the respiratory organs and the gastrointestinal tract, as well as patients with liver diseases. The department is located in newly renovated premises and currently has 25 care beds. We are a unit with a good work climate, where we care for each other and have close collaboration.

RESPONSIBILITIES

In this role, you are a key person in the operation and function as the unit manager's extended arm. You have a central function in ensuring stable and well-functioning daily operations by planning, coordinating, and following up on the operation together with managers and employees.

The work includes, among other things, planning and coordination of staffing in both the short and long term, scheduling for an operation that runs around the clock. You are responsible for handling unexpected absence and leave in the IT systems used within Region Skåne. The role also includes invoice management and assisting the unit manager with administrative tasks related to orders, minute taking, and meeting planning.

You support employees with staffing-related issues, such as shift swaps and other schedule-related matters, which requires good prioritization skills and a strong ability to create structure and overview.

As executive support, you actively contribute to developing, implementing, and following up on routines, especially within staffing planning, and you work with both operational and coordinating tasks.

QUALIFICATIONS

We are looking for you who have a completed upper secondary education and good administrative skills. It is meritorious if you have a higher vocational education (KY) or university college education (YH) in a relevant area. Strongly meritorious with previous experience of administration within healthcare. You have very good knowledge of Swedish, both in speech and writing. You have good IT skills and are accustomed to working in the Microsoft Office package. Furthermore, you have knowledge of relevant laws and agreements, such as the Working Hours Act and general provisions, and can apply these in your daily work.

As a person, you are structured, responsible, and solution-oriented. You thrive in a role with a high pace and varied tasks where you work both independently and in close collaboration with others. You have a good approach, are service-oriented, communicate clearly, and collaborate well with others. You combine a holistic perspective with attention to detail, which creates structure and quality in the operation.
