We are now looking for an Executive Assistant to VE Pediatrics and Adolescents in Ystad. Welcome to work with colleagues who do everything they can to ensure that children and families receive good care and a positive experience at the hospital, and who care for each other and are open-minded.
VE Pediatrics and Adolescents Ystad consists of a pediatric emergency clinic, an inpatient ward, day care, and a specialist clinic. We operate in Ystad with a total of approximately 80 employees and belong to the Lasarettet i Ystad administration.
The Department of Pediatrics and Adolescent Medicine has three inpatient beds and additional beds for day care activities for children and adolescents up to 18 years old. The medical specialties are primarily pediatrics, surgery, orthopedics, and ENT (ear, nose, and throat) diseases. Our Pediatric Emergency Clinic receives children and adolescents from all specialties, aged 0–18, with acute medical conditions around the clock. Ambulance alerts with priority levels two to four are also received.

Job Description
As an Executive Assistant here, you will have a varied and independent job with varying pace. You will be an administrative support to the Unit Manager and Section Manager, with a coordinating role and a good overview of the operations. Here you will work with varied tasks that require both structure and flexibility.
Your main responsibilities include:
- Personnel Administration: You handle employment contracts, payroll, permissions, and onboarding of new employees. You also handle administration regarding absence and leave, as well as invoice management and ordering responsibility.
- Scheduling: For all staff categories within the pediatric unit. Administration in HR-fönster where you plan staffing and schedules and resolve staff vacancies. You work continuously with payroll administration.
- Other Administration: Being a support in various administrative processes that arise in daily operations.
Furthermore, you are an important support for our employees in matters within your area of responsibility. As the hub in the network, you are a central part of the team that makes everything flow. The role suits you if you like order and structure, have good planning skills, and thrive with many contact surfaces.
Qualifications
We are looking for you who have completed and passed upper secondary education and have at least two years of experience in personnel administration, for example, payroll administration, scheduling, and staffing. For the position, it is required that you have good knowledge of Swedish in both speech and writing and are proficient in the Microsoft Office suite.
It is meritorious if you have medical secretary training or other administrative education at post-secondary level that the employer deems relevant for the position. Furthermore, we would like you to have a couple of years of experience working in healthcare, along with knowledge of systems used by Region Skåne, such as HR-fönster, Curatime, and Multiacess.

In addition, you have the ability to plan and work flexibly, both in teams and independently, and can adapt to a changing daily life.
