Front of House / ID Center Administrator

As a Front of House team member, you are the heart of the workplace and play a vital role in creating a warm, welcoming, and service-oriented environment for clients, colleagues, and visitors. You are the first point of contact and ensure a positive workplace experience through professional, personal, and high-quality service. In this role, you work with reception and workplace services by welcoming visitors, answering and routing calls, assisting with visitor-related needs, and handling administrative and service-oriented tasks. Together with the workplace team, you are responsible for the client's facilities, ensuring they are well-maintained, organized, and presentable. You actively collaborate with clients, colleagues, and suppliers to continuously improve the workplace experience. Responsibilities

  • Responsible for the daily operations of the ID Center, including the production of ID cards for employees, suppliers, and visitors, direct customer support, handling calls and emails, updating guidelines and documentation, and maintaining order in access and key systems such as Assa Performer and keyboxes.
  • Perform general reception duties such as welcoming internal and external visitors, answering questions from tenants and employees, creating visitor and temporary badges, managing parking, and serving as an information point in the building.
  • Handle mail and packages, support property-related services, and conduct preventive rounds and supervision of conference rooms and shared workspaces.
  • Responsible for administration and reporting in the work order system, working with ATW (Authority to Work) and PTW (Permission to Work), ordering services as needed, and ensuring the purchasing process is followed.
  • Maintain ongoing contact with clients and suppliers, actively participate in improvement work, keep routines, reports, and manuals updated, and provide support with signage, office supplies, fault reports, and minor maintenance as needed.
  • Perform other tasks as assigned when necessary.
Qualifications
  • Very high service awareness and a genuine interest in creating an excellent customer experience.
  • Positive, professional, and solution-oriented with high integrity.
  • Basic computer skills, including Microsoft Office and mobile applications.
  • Basic knowledge of Swedish and English, both spoken and written.
  • Structured, responsible, and self-directed with good prioritization skills.
Communication Skills
  • Ability to understand instructions, ask clarifying questions, and communicate clearly with clients, colleagues, and management.
  • Comfortable writing routine documentation and reports, as well as presenting information in a clear and professional manner.
  • Enjoys meeting new people and behaves warmly, engaged, and professionally.
  • Precise, empathetic, and solution-focused with a positive attitude even in changing situations.

  • Can follow general instructions and solve problems in standard situations using basic analytical skills.
  • Is flexible, adaptable, and can work independently with limited supervision.
  • Has the ability to work flexible hours based on business needs and can stand and walk for extended periods.

You are responsible for your own safety and the safety of others affected by your work. This means you must complete mandatory QHSE training, follow company policies and routines, report risks, and work according to current safety regulations, including the use of personal protective equipment when required.
