The Care and Support Housing within Malmö Municipality consists of five units. We are now looking for an assistant who will be placed at Unit 1, which is divided into eight sections. You will become part of a team of 6 assistants within the unit.

Job Responsibilities
As an assistant, you will be the daily and proactive support for our managers and team. Your responsibilities include:
- Practical work with daily staffing and schedule planning.
- Administration in systems such as Medvind/H-rutan and Ekot.
- Ordering consumables and work clothes.
- Handling error reports, receiving deliveries, and coordinating with craftsmen.
- Booking training for staff.
- Contact with operations when new residents move in.
- Managing permissions in various IT systems.
- Coordinating interns and labor market placements.
Qualifications
- Upper secondary education with a focus on administration or a nurse assistant education.
- Documented experience in staffing planning and overall personnel planning.
- Experience in coordination tasks within healthcare and/or care and support.
- Previous administrative work, preferably within the municipal sector, is meritorious.
- Experience working in a 24-hour operation is an advantage.
- You are accustomed to using the computer as a work tool and have the ability to quickly learn new programs and systems.
- Good knowledge of current system support such as Medvind and Personec P is meritorious.
- Good knowledge of Swedish, both spoken and written.
Personal qualities required for the position
- Flexibility: The work often involves changes and new challenges, so it is important that you adapt easily to changed circumstances and see opportunities in change. This is crucial for handling daily staffing and schedule planning.
- Collaboration skills: You will work closely with other people and different operations. Being able to relate to others in a listening and smooth manner, listening, communicating, and resolving conflicts constructively is important to be effective in the role of coordinator and contact person for interns and labor market placements.
- Structured: To plan, organize, and prioritize work effectively, you need to be structured. This helps you keep timeframes and ensures that administrative tasks such as managing permissions and booking training are performed correctly and on time.
- Service-oriented: A calm and attentive approach, as well as the ability to help others and deliver solutions, is crucial for handling error reports, receiving deliveries, and assisting managers in their daily work.
- Self-starting: You will need to take responsibility for your tasks and drive your processes forward on your own. This is important for handling orders, administration, and quickly learning and using new systems.
