The Food Services department has an important mission: to provide patients, staff, and visitors at hospitals in Västra Götaland with nutritious, tasty, and safe meals – a fundamental prerequisite for faster recovery and secure care. Among our employees are chefs, kitchen assistants, and dietitians, and together we contribute to the smooth daily operation of care and social services.

Food Services Skaraborg is now looking for an assistant who thrives in service, structure, and administrative responsibility, and who wants to contribute to ensuring that meals reach the hospital's patients, staff, and visitors in the best possible way. In this role, you support the operations and managers with daily administrative tasks and serve as a central contact for questions and matters regarding meals and their significance for care.

About the position

As an assistant within Food Services Skaraborg, you work close to the operations and contribute with administrative expertise and a high level of service. You handle several parallel tasks in different systems, follow current routines and guidelines, and collaborate with colleagues in similar administrative functions.

The position is located in Skövde.

Examples of duties included in the position:

• Provide administrative support in daily operations, such as staffing planning, schedule management, orders, statistical data, documentation, and filing.
• Handle matters related to the diet data system and orders for meals, food, and catering.
• Maintain telephone contact with healthcare providers and provide service for incoming inquiries.
• Handle deviations and error reports, and follow up on data in collaboration with relevant functions.
• Manage orders and handle and coordinate local IT matters.
• Work with personnel administration related to recruitment and employment start-up, such as employment contracts, access cards, induction, and other ancillary tasks.
• Answer questions within your area of responsibility and collaborate with colleagues and other administrative functions.
• Participate in working groups and networks related to administrative methods and development, as needed.

Qualifications

• Upper secondary education and experience with administrative tasks, preferably from public sector or food/service operations.
• Education in the diet or food sector, such as dietitian, nutrition advisor, chef, or similar.
• Unrestricted ability to communicate in Swedish, both orally and in writing.
• Experience working with digital tools and administrative systems (e.g., Office 365 or equivalent).
• Advantageous with experience in personnel systems (e.g., Heroma) and/or diet data systems (e.g., Matilda).

Personal qualities

You are structured and meticulous and take responsibility for driving your tasks forward. You have a service-oriented approach, thrive with many contact surfaces, and find it easy to collaborate. You are also solution-oriented and comfortable switching between planned tasks and more urgent matters.

About us

Food Services Skaraborg is part of the Supply Administration in the Region of Västra Götaland. We work to provide Skaraborg Hospital with safe, good, and secure meals, thereby contributing to a well-functioning care and social service. Within Food Services Skaraborg, approximately 35 employees work to supply the hospitals in Skövde, Lidköping, and Falköping with meals, food, and catering.
