The School of Music and Drama is now looking for a HR Administrator for a parental leave cover position for approximately four months during the autumn. As an HR Administrator, you will be part of the administrative unit together with another HR Administrator and an HR Officer. Other roles in the team include education officers, study counselors, finance, communicators, international officers, and coordinators. The group consists of fifteen employees and is led by an Administrative Manager.
Responsibilities
As an HR Administrator, you will work with issues covering the entire HR area. The work is divided into different areas of specialization, and your main area will be the payroll administration process, in which you work in accordance with Gothenburg University's guidelines and regulations. As an HR Administrator, you will be the contact person for the department's HR administrative questions. You are expected to work independently but also in collaboration with the institution's other HR Administrator, HR Officer, and other colleagues within the administration. You will be part of the faculty's HR group, which holds joint meetings.
Primarily, you will handle ongoing HR administrative tasks such as reviewing and reporting cases in the personnel system, processing various employment matters, rights administration in several systems, and handling foreign honoraria. You are also responsible for planning, administering, and following up on holidays, work schedules, absence and leave, pensions, and termination of employment. The work involves contact with other authorities such as the State Service Center, the Swedish Pension Agency, the Security Foundation, and the Tax Agency. You will also serve as administrative support to managers, focusing on working time agreement issues in service planning. The role includes developing routines, processes, and working methods together with other HR employees, as well as providing support and advice to managers and other employees at the institution.
Qualifications
We are looking for you who have post-secondary education with an HR focus on personnel administration, or other education that the employer considers equivalent. It is highly meritorious if you have work experience from payroll and/or personnel administration at an institution within Gothenburg University.
To function in the role, you must have the ability to understand and familiarize yourself with different systems, as well as knowledge and the ability to apply current laws and regulations. At the university, we use the personnel and payroll system Primula and the service planning system Retendo. It is a great advantage if you have experience of regularly working in these systems.
Since you are responsible for your own areas of specialization, you need to be a structured and quality-conscious person who likes order and routine. The work involves daily contact with other people, so it is important that you enjoy collaborating and have good communication skills. As a person, you are responsible, accustomed to working independently, problem-solving, and flexible. You have a service-oriented approach, easily build trusting relationships, and can explain current regulations in a pedagogical and easy-to-understand manner.
The work involves many contacts both within and outside the institution, which places high demands on good collaboration skills. You are a problem solver with the ability to apply current regulations and view issues from a holistic perspective. We see that you are solution-oriented and generously share your experience of good working methods.
As the university is an international environment, it is assumed that you have good ability to express yourself both orally and in writing in Swedish and English.
Employment
Fixed-term employment (parental leave cover) for the period 2026-08-12 to 2026-12-31, or until the permanent employee returns. Extension may be considered.
Scope: 100% of full-time
Start date: 2026-08-12 or by agreement.
Location: School of Music and Drama, Eklandagatan 86, Gothenburg
Recruitment Process
Interviews will take place at Eklandagatan 86 and will be conducted on the following dates: Thursday 2026-06-11 (afternoon), Tuesday 2026-06-16 (morning), or Wednesday 2026-06-17 (afternoon).
