Front Office Coordinator

We are now looking for a Front Office Coordinator for a fixed-term contract of approximately 1.5 years who wants to take overall responsibility for our reception and internal service function. In this role, you are a central point of contact and contribute to creating a professional, welcoming, and well-functioning workplace.

About the role

As a Front Office Coordinator, you are the face of the company and an important part of making our daily operations run smoothly. You work both operationally and coordinatively with a wide range of tasks – from receiving visitors and handling the switchboard to coordinating activities and ensuring high service levels across the board.

Your main responsibilities

  • Responsible for reception and switchboard, providing professional hospitality to both internal and external contacts
  • Receive, plan, and coordinate visits, including bookings, agendas, transport, and accommodation
  • Handle mail, deliveries, and visitor systems, ensuring smooth and secure administration
  • Coordinate meeting rooms, lunches, internal events, and activities
  • Responsible for orders (office supplies, coffee/tea, events, etc.) as well as handling access badges, access rights, and pool cars
  • Update the intranet and support with administrative tasks such as invoice processing and internal initiatives

Who are you?

You are service-oriented with natural hospitality and create a professional and welcoming atmosphere. You handle multiple tasks in parallel thanks to your structured approach, and you are responsible and solution-oriented. As a person, you are unpretentious, flexible, and proactive, and you communicate confidently in both Swedish and English. Experience from reception work, administration, coordination, or working in business systems and invoice processing is meritorious.

Employment: The position is a fixed-term contract of approximately 1.5 years, starting upon agreement.
