Job Description

We are currently seeking an Administrator on a 50% basis for a client in central Stockholm. In this role, you will support the manager with the department's administrative tasks.

The role is broad and requires excellent communication and collaboration skills.

Working hours should be arranged as follows:

  • Mon–Fri 08:00–12:00
  • Or Tue–Wed 08:00–17:00 and Thu 08:00–12:00

Responsibilities

  • Work according to established routines
  • Provide operational support to the organization
  • Handle numerous contacts with employees and visitors
  • Provide administrative support before and during international meetings and conferences
  • Manage travel planning, group travel bookings, and contacts with travel agencies
  • Handle visa applications and invitation letters
  • Administer bookings for conferences abroad
  • Write minutes and other documents according to instructions

Qualifications

  • High school diploma or equivalent education
  • Five (5) years of work experience as an administrator from the last bid date
  • At least three (3) years of experience working in an international department or similar from the last bid date
  • Experience working with multiple project managers and participants when booking conferences and travel to countries outside Europe
  • Experience working as an administrator in projects or with conferences within a development aid organization

The proposed consultant should:

  • Have completed at least one (1) assignment of similar work at a government agency lasting one (1) year or more within the last three (3) years from the last bid date. The reference assignment may be ongoing.
  • Have excellent collaboration skills, be responsive, meticulous, responsible, and have a high level of service awareness.

The consultant should be able to arrange their working hours according to one of the following alternatives. Depending on which alternative the consultant can work, added value will be generated:

  • Alternative 1: 08:00–12:00 Monday–Friday
  • Alternative 2: 08:00–17:00 Tuesday and Wednesday, and 08:00–12:00 Thursday
