We are currently seeking an initiative-driven, social, and service-oriented individual who wants to become a key player in the daily operations of an international tech office for our client in Lund.

In this varied role, you will be responsible for ensuring the office runs smoothly on a daily basis while creating a pleasant and professional experience for both colleagues and visitors. You will work in an international environment with many points of contact and have the opportunity to take significant personal responsibility.

About the Role

As a Hospitality Service Assistant, you will be a central point of contact at the office, working broadly with reception, service, and facility-related tasks.

You are responsible for ensuring daily operations run smoothly and play a vital role in creating structure, comfort, and a well-functioning office environment.

Selection of Responsibilities

Reception & Service

  • Manning the reception desk daily (08:00–13:00)
  • Welcoming visitors and managing check-ins in the visitor system
  • Handling access cards and temporary badges
  • Receiving and distributing mail and deliveries
  • Onboarding new employees and conducting office tours

Office Service & Comfort

  • Managing coffee and tea stations (approx. 6 units)
  • Ensuring common areas and meeting rooms maintain a high standard
  • Contacting suppliers as needed (e.g., coffee/tea)
  • Contributing to improvements and well-being activities

Meeting Rooms & Materials

  • Weekly inspection of meeting rooms and materials
  • Ensuring equipment is in good condition
  • Supporting meetings and events

Purchasing & Administration

  • Managing office supplies (3 storage rooms)
  • Ordering and following up on purchases
  • Working with simple systems (e.g., Excel)

Facility & Suppliers

  • Point of contact for cleaning, property, and service suppliers
  • Creating service requests for the landlord
  • Handling fault reports and workplace requests
  • Checking and restocking first aid stations
  • Ensuring routines and working environment standards are followed

Communication

  • Communicating via Slack and email
  • Participating in digital meetings (Teams/Zoom)
  • Collaborating with global teams

Several simpler office and administrative tasks may be added beyond those listed above.

We are looking for you who

  • Are social, positive, and confident in meeting people
  • Are structured and enjoy taking responsibility
  • Have an eye for detail and order
  • Speak and write fluently in Swedish and English
  • Are comfortable with digital tools
  • Are a team player who thrives in an environment where collaboration and communication are important

Previous experience in reception, service, or office roles is an asset.
