Job Description
We are currently temporarily expanding our teams at the School Placement Unit to prepare for the implementation of new systems and the development of our processes, addressing the needs we see in our operations. Therefore, we ask you: Do you want a key role where your expertise makes a difference for thousands of students every day? Then we are looking for you at the School Placement Unit!
As a Planning Secretary, you will serve as a vital link between guardians, schools, departments within the administration, and other municipal departments in Malmö City. Here, you will combine lawful administrative practice with citizen service in a role characterized by variety and responsibility.
You will work within the areas of school placement, school transport, and compulsory schooling. You will process, handle, administer, and make decisions in cases. As needed, you will also represent the committee in the Administrative Court. You provide secure support to the administration's schools and guide citizens primarily via email and phone with a professional attitude. You contribute to our improvement work by analyzing data, investigating, and turning insights into concrete actions that make our operations even better.
Qualifications
We are looking for you who have an academic degree with a social science focus or another degree that the employer deems equivalent. It is a requirement that you have at least 6 months of previous work experience in public administration, including administrative practice and decision-making. You must also have good ability and experience in familiarizing yourself with new systems. Good knowledge of Excel or Excel-based systems is an advantage.
Since the position involves many contact points both verbally and in writing, good Swedish language skills are required. As a person, you should be collaborative and able to independently plan and organize your work. You are structured and thrive in a work style characterized by service. To thrive and succeed in the role, it is also important that you have a flexible approach and the ability to prioritize your tasks.

About the Workplace
The Quality and Authority Department is one of four overarching support functions within the Primary School Administration. The department's mission is to create conditions for equality, legal certainty, and good goal achievement for students by providing qualified support and advice to schools, the administration management, and the primary school committee. The department coordinates cross-administrative processes and contributes to internal leadership and support. By producing high-quality materials for decision-making and analysis, as well as identifying development opportunities, the department assists the principal in achieving both national and municipal goals. The department consists of three units: the Communications Unit, the Quality and Investigation Unit, and the School Placement Unit.
