Senior Administrative Assistant to the HR Department at the Swedish Social Insurance Agency

The HR department is responsible for driving the agency's employer policy and ensuring its competence supply. This covers areas such as labor law and collective agreements, working environment, leadership and employee management, and competence development. HR supports managers and leadership teams on all types of HR-related issues. The HR department at the Swedish Social Insurance Agency is now seeking an engaged and senior administrative assistant. You will work closely with colleagues such as controllers, HR specialists, and business developers. Our approximately 200 employees are primarily located in Stockholm, Malmö, Gothenburg, and Östersund.

Documentation, Administration, and Collaboration

As an administrative assistant within the HR department, you will provide administrative support primarily to the HR Director, but also to other managers within the HR department, contributing to a smooth daily operation for leadership. In this role, it is important to have high integrity, the ability to take independent initiatives for improvements, and to work proactively.

You will assist the HR Director with calendar booking, meeting planning, meeting documentation, travel arrangements, and organizing conferences. In your work, you will handle invoices, procurement, purchasing, access rights, registration, and document management. You will collaborate with other administrative assistants within the agency and serve as a contact person for other operations, both internally and externally.

  • have a high school diploma or equivalent experience and qualifications
  • have a systematic and meticulous working method

  • are confident and inspiring, even in demanding situations
  • quickly identify problems and solve them in a relevant way.

It is an advantage if you:

  • have experience providing administrative support to people in leading positions
  • have good knowledge of the Swedish Social Insurance Agency's organization and administrative systems
  • have experience of trade union cooperation
  • have knowledge of the Administrative Procedure Act
  • have experience with digital registration and case management systems
  • have experience working with invoice management systems
  • have good knowledge of the Office package.

Other Information

1 position, permanent, full-time, with a start date to be agreed upon. A probationary period may apply. In accordance with the Swedish Social Insurance Agency's security guidelines, background checks will be conducted during this recruitment. Remote work is possible if the work allows.
