We are looking for a meticulous and organized administrator for one of our clients in Helsingborg who wants to work in a varied role where you will be responsible for order management, freight booking, and financial administration. The role suits you who enjoys having many different tasks and likes order and structure.

Responsibilities

In this role, you will work with:

Order and logistics administration

  • Create and print labels for new customer orders

  • Manage the internal order flow and ensure correct documentation

  • Print delivery notes and packing lists

  • Book transports via freight portals (e.g., Sendify)

  • Follow up on deliveries and ensure that goods are picked up as planned

  • Inform customers about delivery and tracking numbers

Invoicing and accounts receivable

  • Invoice delivered orders and ensure correct currency

  • Manage EU invoicing according to VAT regulations

  • Register invoice numbers and archive order materials

  • Send payment reminders

  • Manage advance payments and pro forma invoices

Accounts payable

  • Receive and register supplier invoices

  • Archive invoices digitally and in folders

  • Prepare payments to suppliers

Finance and administration

  • Monitor the company's liquidity in SEK, EUR, and USD

  • Handle payroll administration before salary payments each month

  • Prepare commission basis for resellers

  • Prepare monthly and annual reconciliations

We are looking for someone who

  • Is meticulous, structured, and responsible

  • Enjoys administrative tasks and routines

  • Has experience in order management, invoicing, or finance

  • Is computer literate and preferably has experience with business systems (e.g., Visma/Spiris)

  • Is comfortable communicating via email with customers and suppliers

  • Has good knowledge of Swedish and preferably also English
