Registrar at the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, detention centers, and client transportation.

JOB RESPONSIBILITIES

As a registrar, you will assess and manage public documents in accordance with applicable regulations. In this role, you are expected to continuously quality assure and improve the registration of public documents together with your colleagues. Part of your daily tasks includes handling incoming mail to the head office and ensuring that documents to be registered are processed promptly. You will also evaluate emails received at the authority's main mailbox and forward them to the appropriate departments or register them. You may receive inquiries from the public or other authorities via phone, and you are expected to respond appropriately in those situations. Daily tasks also include assessing confidentiality and releasing public documents, as well as training and working with operational signals protection within the authority.

You will quality control completed cases, add them to the records, and sort them into the archive connected to the registration office. You will assist and support colleagues at the head office and across the country to ensure they have the right conditions to handle their documents correctly. This will be done via phone, email, or through various training sessions and forums. The team will also develop different types of support materials.

QUALIFICATIONS

You work well with others by being receptive and communicative. Furthermore, you plan and organize your work effectively to meet deadlines while focusing on goals and results.

We are looking for someone who has:
• Completed upper secondary education in the form of a diploma or degree, or other education combined with experience deemed equivalent by the Swedish Prison and Probation Service
• Certified registrar or archivist
• Experience working as a registrar
• Very good knowledge of document registration
• Very good knowledge of public documents
• Excellent ability to express yourself verbally and in writing in Swedish

It is an advantage if you have:
• Training in signals protection
• Experience working with signals protection
• Knowledge of signals protection
• Experience working with the document and case management system Platina
• Experience working within the Swedish Prison and Probation Service
• Additional language skills beyond Swedish and English
