Administrator at the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, remand facilities, and client transport.

The position is located within the section for analysis and coordination, which is part of the planning unit in the security department. The section is responsible for developing methods and models for monitoring, analysis, and planning of security work within the framework of the authority's governance and follow-up model. The section is responsible for coordination within the department and distribution of incoming inquiries/referrals, as well as for the department's email and mail handling and record-keeping. The section is also responsible for extracting and conducting national analyses of reported incidents in the incident reporting system. Additionally, the section has administrative responsibility for the security department's IT systems.

JOB RESPONSIBILITIES

As an administrator, you are a key person for the department's efficiency by coordinating, supporting, and assisting both colleagues and managers. The role involves providing service to the entire department and taking responsibility for your own tasks.

You actively contribute to meeting future needs and challenges in relation to the Swedish Prison and Probation Service's capacity increase by creating structure, methodology, and order for increased efficiency.

Main tasks and responsibilities:

  • Administrative support (case management, meeting bookings, minutes, record-keeping, purchasing, invoice handling, planning, and coordination)
  • Develop methods and working practices for uniform application within administration
  • Coordinate incoming documents and cases
  • Support managers with preparations, meeting bookings, summaries, and other administrative actions
  • Assist in assignments, investigations, and departmental activities (e.g., management days)
  • Handle documentation, mail (including email), and permissions
  • Independently identify, manage, and complete relevant issues

We are looking for someone who has:

  • Complete upper secondary school competence in the form of a final grade or upper secondary diploma in a relevant area, e.g., economics, administration, or another direction that the Swedish Prison and Probation Service deems relevant
  • Several years of experience in administrative work at an authority
  • Very good administrative skills
  • High digital maturity
  • Experience working with the Office package
  • Very good ability to express oneself in speech and writing in Swedish and English

It is an advantage if you have:

  • Additional education in administration
  • Work experience from the Swedish Prison and Probation Service
  • Experience working with archives and confidential documents as well as handling incoming inquiries and documents for the department
  • Knowledge of the Swedish Prison and Probation Service's administrative systems (Proceedo, Criminal Records Register, Platina)
  • Familiarity with the principle of public access and confidentiality issues

Interviews are scheduled to be conducted on March 27 and March 30.
