BUP Neuropsychiatry is looking for medical secretaries

BUP Neuropsychiatry is seeking medical secretaries for the unit BUP Neuropsychiatry southwest 2, which will start in Älvsjö.

BUP Neuropsychiatry southwest 2 will gradually start its operations during 2026/2027. We are now looking for engaged colleagues who, together with us at BUP Neuropsychiatry southwest, want to help build the clinic from the ground up.

Placement during the startup phase may be in Älvsjö or another geographically nearby clinic within BUP Stockholm. In 2027, BUP Neuropsychiatry southwest 2 will move to newly renovated premises in Solberga (Älvsjö). The clinic's mission is to conduct neuropsychiatric assessments for children and adolescents aged 0–17 years and to be responsible for pharmacological treatment for diagnosed ADHD. At the neuropsychiatric clinics within BUP Stockholm, psychologists, medical secretaries, doctors, nurses, assistant unit managers, and unit managers work. These functions will be recruited to BUP Neuropsychiatry southwest 2.

Job Description

The work involves responsibility for the unit's administrative flows with a focus on the patient process, but also tasks related to personnel and finance. You ensure that our patients are called in a smooth and patient-safe manner via the appointment systems TakeCare and Alltid öppet. The assignment includes handling incoming referrals, scheduling, invitations (digitally and by post), as well as cancellations and rescheduling.

You will also work with orders and invoice management, receive and process incoming calls via TeleQ, and perform tasks in the personnel administrative system Heroma. The role includes record-keeping and coordinating assessment times to contribute to effective and well-functioning assessment processes. You will also respond to questions from patients and guardians, both via phone and during visits to the clinic.

Qualifications

A degree in medical secretarial training is a requirement. You have a good ability to quickly familiarize yourself with and work in new digital systems and see the opportunities with digital solutions that increase accessibility for patients. You will be part of an organization where experienced colleagues contribute with support and knowledge.

It is advantageous if you have experience working as a medical secretary in psychiatric operations and are familiar with working in the systems TakeCare (record-keeping), Pastill (care administration), TeleQ (telephony), Heroma (personnel administration), and Raindance (financial administration).

You are self-reliant and confident in working independently, while also being service-oriented and having very good collaboration skills. To succeed in the role, you are solution-oriented, structured, and efficient with the ability to ensure that tasks are carried out accurately and professionally.

You thrive in an environment characterized by development and improvement work and have the ability to handle a startup phase where routines and tasks may change over time. Employment Form

The position is a permanent full-time employment. A probationary period may be applicable. Start date by agreement.

  • background checks are applied before hiring decisions according to SLSO's overarching guidelines for background checks during employment.
  • employees who will have patient contact must undergo a pre-employment medical examination, according to current directives, which is done through occupational health care before employment.
  • in addition to Swedish professional certification, good knowledge of the Swedish language corresponding to level C1 according to the Common European Framework of Reference (CEFR) is required. The same requirements are guiding for non-licensed personnel with patient contact.
