Operations Coordinator at the Swedish Civil Contingencies Agency

The Swedish Civil Contingencies Agency is the leading authority in civil defense, responsible for ensuring that society is prepared for crises, heightened readiness, and war.

We are looking for an operations coordinator who, with confidence in finance and administration, wants to take a central role in managing research and innovation funding, follow-up, and organizational development in a setting where structure and renewal go hand in hand.

Your Responsibilities and Tasks

As an operations coordinator, you will work operationally with budgets, forecasts, and follow-up of research and innovation funds in close collaboration with managers, research coordinators, and external partners. You will develop routines and processes for initiation/start-up, follow-up, and evaluation of research projects, strategic agreements, and innovation projects. You will also work with operational planning and administrative tasks that support the unit's and department's activities, such as contract management, preparation of decision-making materials, and other documentation.

Your Skills and Competencies

We are looking for someone with relevant academic education, preferably in finance, social sciences, law, or other experience we deem equivalent. Furthermore, you have experience in managing grant/project funds and in process and organizational development. To succeed in your commitments, you have excellent administrative skills, and you also possess strong communication skills, both verbally and in writing, in Swedish and English.

It is advantageous if you have:

  • experience in project financing
  • experience in authorized accounting
  • experience using financial management systems and document management systems
  • experience in information classification
  • knowledge of contract law or other legal areas relevant to the distribution of state grants.

About the Employment

We offer you a permanent full-time position that begins with a probationary period. Your workplace will be Karlstad or Stockholm at our Tomteboda office, and travel may be required in the position.

The majority of our positions involve placement in a security class. Typically, Swedish citizenship is required. When placed in a security class, a security review with a background check will be conducted before employment according to Chapter 3 of the Security Protection Act. Most employees at MSB are war-placed.

The unit drives and develops research and innovation, nationally and internationally, to strengthen civil defense. We build strategic partnerships, lead a national innovation program, and provide strategic support to the agency's management. The unit ensures that research results are translated into concrete benefits. The unit is located both in Karlstad and Stockholm at our Tomteboda office, where we have activity-based offices where you can choose your workplace according to your needs. You may also have the opportunity for remote work to some extent.
