Your tasks – Drive the development of our information and case management

As chief registrar, you will work both operationally and strategically. We are in an exciting development phase and actively working on digitization, improved work processes, and information management. In your role, you will act from a holistic perspective and work to maintain a legally secure registry. You will perform daily tasks for a registrar and support colleagues' work with information and case management, as well as archive maintenance.

Examples of tasks within our registry:

  • Manage and register both incoming, outgoing, and created documents, as well as digital and physical mail.
  • Independently or in collaboration with other employees within the agency, handle requests to access public documents.
  • Evaluate and assess information based on confidentiality levels.
  • Participate in archive maintenance work.
  • Train employees in the agency to independently quality assure and improve the registration of public documents.

The unit has a significant responsibility to comply with legislation and the information management plan, and in this work, you play an important role. As chief registrar, you will participate in and contribute to our agency-wide development work regarding registry, information management, and archiving. Based on your expertise, you will ensure the quality of processes and work proactively to develop working methods and routines.

The role involves close collaboration primarily with the unit manager and archivist, but also with other colleagues in the unit, our system support, and the legal secretariat. Additionally, you will of course have contact with colleagues from across the agency.

Qualifications

We are looking for someone with several years of relevant experience in the role of registrar, chief registrar, or document controller within the public sector. You have good knowledge of the laws and regulations governing public operations and a registrar's function. You have very good knowledge of Swedish and English, both spoken and written, as well as good knowledge of IT systems and programs. For this position, you must have Swedish citizenship and a driver's license.

It is meritorious if you have:

  • Post-secondary education that we assess as relevant for the position, such as political science, public administration, archive and information science, or as a certified registrar.
  • Experience handling security-classified documents.
  • Experience from a government agency.
  • Experience working in document and case management systems.
  • Experience working in a leading/coordinating role.
  • Knowledge of archive maintenance.

About us

The position is located in the information and case management unit. About 13 people work here in the areas of registry, archives, and system support. The operation is under development and has been strengthened with expertise in several areas. Good to know

The position is a permanent employment with an initial six-month probationary period. This position is classified in security class, which means security screening and background checks according to the provisions of the Security Protection Act. Upon permanent employment, it may be relevant to be assigned to the agency in the event of a war.
