The Support and Governance area works with effective internal support and good internal governance and control. We develop our operations for a sustainable society. Legal issues, process support, finance, operational governance, personnel issues, competence supply, IT issues, internal services, procurement, and local supply are included in the operational area.
The position is located in Härnösand, where we have our central archive. The position belongs to the Legal Unit, which also includes the agency's lawyers, registrars, and archivists (about 20 employees). The unit has positions in various locations across Sweden.
The role of archive assistant means that you will work with our archivists and registrars to provide advice and support to our operational areas within the archive and registry field. You will also maintain and administer information in our archives in both analog and digital form.
Your daily work involves working both in a team with archivists and registrars as well as independently on certain tasks. The unit's and your work is characterized by good service to the entire agency and the public regarding inquiries about the release of archival material.
Working with the archive may involve heavy lifting and can be physically demanding.
RESPONSIBILITIES
In the position of archive assistant, the following tasks will be relevant:
- Receive analog archive deliveries internally
- Organize and catalog the agency's archives
- Assist in preparing archive deliveries to the National Archives.
- Enter catalogs into the archive cataloging system Visual Arkiv
- Search for documents in preparation for the release of public documents.
The work may also include other common tasks within the archive and registry operations, such as registry and system management of the diary.
QUALIFICATIONS
We are looking for someone who has:
- High school diploma, preferably with a focus on administration or social sciences
- Experience working with archives in public administration
- Experience working in archive cataloging systems
- Good ability to express yourself verbally in Swedish or Swedish sign language and in writing in Swedish.
It is an advantage if you have:
- Post-secondary education in archives and registry, or equivalent knowledge through many years of experience in the archive and registry field
- Good experience working in the archive cataloging system Visual Arkiv
- Experience working in various digital operational systems
Personal qualities
As we are an archive operation that handles both digital and physical documents, it is important that you have an interest in document management, information security, and relevant regulations. You are meticulous in your work and have an interest in ensuring that information is handled correctly and made accessible according to applicable legislation.
To succeed in the position, you should also:
- be structured and have good administrative skills
- enjoy working independently but also find it easy to collaborate with others
- have a strong sense of service.
Great emphasis will be placed on personal suitability when filling the position.
OTHER
A probationary period of 6 months applies.
A criminal record extract must be presented before employment.
Your place of work is in Härnösand, but the job may involve travel to the agency's other offices around Sweden.
In the event of a societal crisis, you may be directed to work between the agency's operational areas based on your placement location.
