Do you want to be the hub of our administrative operations? We are looking for a registrar for the guardianship unit responsible for case and document management, mail handling, and archive and information management.

Since the operations are governed by law, there are high demands for the processing to be carried out correctly according to the Parent Code, the Administrative Procedure Act, and the Public Access to Information and Secrecy Act.
The guardianship unit is located in pleasant premises at Luleå Service Center and consists of one administrator, eight case officers, and one unit manager.

Job Responsibilities: In this role, you will be responsible for:
- Managing cases and documents: creating cases, registering incoming documents, dispatching documents, closing cases and files.
- Handling mail and monitoring the committee's official email.
- Supporting case officers in requesting documents and performing simpler processing tasks.
- Assisting in confidentiality assessments and the release of public documents.
- Together with the archive manager, being responsible for the unit's archive operations and maintaining the committee's archives.
- Conducting quality controls to ensure correct record-keeping and closure of cases.
- Reviewing and updating governing documents, such as document management plans and archive descriptions.
- Contributing to efficient routines for registration and administration.
- Participating in improvement work focused on continued digitization of the operations and our systems.
THIS IS WHAT WE ARE LOOKING FOR
We are looking for someone with a relevant university education, for example in registration, document management, or archive and information science, or other equivalent education. You have experience in administration within public, law-governed operations and are accustomed to processing in a public environment. Good IT skills and the ability to quickly learn new systems are a requirement.
You need to have good knowledge of the laws and regulations that govern municipal operations, such as the Local Government Act, the Administrative Procedure Act's service obligation, the Public Access to Information and Secrecy Act, and GDPR.
The role involves many contacts, both internal and external, so you need to be service-oriented but also interested in understanding the entire assignment and process to forward questions to the right person.
