The Authority for Accessible Media (MTM) is looking for management support
The Authority for Accessible Media (MTM) is seeking qualified management support to contribute to more sustainable and efficient management work. The role is central to the authority's daily operations and involves close collaboration with the Director General and managers.
We are looking for someone who thrives in a management-adjacent role where you combine structure, service, and judgment, and who sees the value in managing practical details while creating order in larger contexts.
About the job
As management support, you will provide qualified, proactive, and independent administrative support to the authority's management. Your task is to relieve the Director General and managers in their daily work, create foresight, and contribute to ensuring that the right things happen at the right time. Your workdays will largely follow the management's schedule, which means they can change at short notice. You may come into contact with sensitive information, which requires high integrity. As management support, you are an important representative of the authority both internally and externally.
The role entails a clear mandate to independently plan, prioritize, and manage everyday administrative matters within given frameworks. You are expected to stay one step ahead, make your own decisions in ongoing work, and contribute to freeing up time for the managers' core tasks.
The position is located in the Management and Operations Support unit, where we currently have 12 colleagues. The unit has a strategic overall responsibility for HR and internal communication, as well as for operational governance, financial processes, and the authority's procurements and purchases. The unit works closely with management, managers, and operations to create structure, quality, and long-term development within the authority.
Your responsibilities include:
- proactively managing calendars and meeting bookings for the Director General and managers
- planning and coordinating meetings, travel, retreats, and external contacts
- preparing agendas, meeting materials, and decision-making documents, including meeting administration of the authority's boards and councils
- taking meeting notes and ensuring follow-up
- performing ongoing administrative tasks, including simpler practical tasks, when they contribute to effective management work
As the role is newly established, the tasks may evolve over time and may also include other administrative tasks within the authority as needed.
You will report to the unit manager for Management and Operations Support, who has personnel and work environment responsibility. The role involves close and trusting collaboration with both the Director General and the Deputy Authority Manager, where assignments and priorities are followed up together.
About you
We are looking for someone who has:
- a high school diploma
- several years of relevant work experience providing qualified administrative support to managers or management in the public sector
- very good digital competence, especially in Office environments
It is advantageous if you have:
- experience working closely with top management
- post-secondary education in administration, economics, or public administration
To thrive and succeed in the role, you need to have a very good ability to work independently, structured, and manage many parallel tasks. You have good judgment, high integrity, and the ability to handle sensitive information. You are proactive and solution-oriented and enjoy a role where you can build relationships and foster close collaborations.
