Administrator for the Vehicle and Internal Services Unit
We are glad that you are interested in working with us! You likely value, just as we do, a job that truly matters. Here at Kalmar Municipality, we work together to continuously improve Kalmar - for everyone who lives their lives here, runs businesses, or visits our beautiful municipality.
The Technical and Property Management Department delivers internal services so that our colleagues in other operations can focus on their core activities. We are responsible for the operation and development of public land and issue permits so that the municipal group and businesses can conduct their activities. We also ensure that children, students, and care recipients receive good and nutritious food and that the municipality's premises are well-maintained and suitable for their purpose.
The work we do directly affects people's everyday lives. Every day, all year round. We create conditions for a beautiful, safe, and sustainable Kalmar.
The Technical Operations consist of about 150 dedicated employees distributed across five units: park, street, project, coast & green areas, vehicles & internal services.
We are now looking for an administrator for the Vehicle and Internal Services Unit.
With us in the internal services of the technical operations, you stand at the center of the operations where structure meets service and smart improvements. The role is broad and varied, giving you the opportunity to combine simpler administrative tasks with more creative efforts and your own initiatives.
One moment you might be writing minutes or preparing an agenda, the next you could be contributing as a sounding board in strategic development issues or driving a smaller project. We believe in joy at work, trust, and doing things together. We are looking for someone who is curious about digitalization and AI and who enjoys creating structure and service in a constantly changing everyday life.
RESPONSIBILITIES
As an administrator in the technical operations, you are the hub that keeps the workday together. You are responsible for coordinating training and inventories, handling purchases, and serving as the office coordinator. You will also provide administrative support for various administrative tasks. The role involves managing boat space and allotment administration, receiving and following up on feedback, and assisting with notes during meetings.
Your tasks include:
- Coordination and administration: office coordination, meeting notes, coordination of training for the entire operation, handling feedback, and administration of boat spaces and allotments.
- Service and support: purchasing, invoice management, and support in administrative and assisting tasks.
- Digital development: finding improvement opportunities and efficiencies through the digitalization of various work methods.
QUALIFICATIONS
We are looking for someone who has:
- A minimum of a high school education; it is an advantage if you have post-secondary education focused on administration, project management, or similar qualifications that the employer deems equivalent.
- Good knowledge of the Swedish language, both spoken and written.
- Previous experience with digital tools such as Microsoft 365 and AI support.
- Work experience in administration or management support.
We would like you to have experience working with simpler digitalization projects, and if you have also worked in the public sector, that is a plus.
We are looking for someone who naturally builds and maintains relationships and who thrives in a role with many points of contact. You work independently, are reliable, and create trust in your interactions with others. You are creative and solution-oriented, with the ability to contribute new ideas and perspectives. Additionally, you enjoy developing and improving work methods both for yourself and together with others.
You are proactive and have a strong sense of both service and quality. You organize your work in a structured way and can smoothly switch between detail focus and a holistic perspective. Even in a fast-paced work environment, you have the ability to create order and maintain a clear direction forward.
OTHER
Kalmar Municipality checks identity and work permits before anyone is hired. This means that you, as an applicant, need to show identification. If applicable, you may also need to present your residence and work permit.
As a permanent employee of Kalmar Municipality, you will be assigned to your workplace and are expected to contribute your work during heightened readiness.
Some positions within Kalmar Municipality are classified in security class, which means that a security review according to the Security Protection Act may be conducted before a hiring decision is made.
