RESPONSIBILITIES

As an administrator, you will be part of a team of four administrators. The administration team is primarily responsible for registration in the client administrative systems, which may involve registering and processing decisions based on the probation service's role in the legal chain. You will also manage the administration for the Supervisory Board that holds meetings in our premises and administer the Probation Service's own decision meetings.

You will be responsible for archives, record-keeping, mail handling, orders, financial administration, and common administrative tasks, providing administrative support to both managers and colleagues. The work also includes staffing the reception to some extent, thus playing an important role in preventive security work by managing access to the visiting department. You will be responsible for receiving clients, ensuring that cases are checked, and clarifying the client's status before allowing entry into our premises. This is to avoid admitting unknown or intoxicated individuals into our facilities as much as possible.

Through the reception and office, you will represent the Swedish Prison and Probation Service with a trustworthy and correct approach towards clients, partners, and the public. The tasks require you to ensure that confidentiality is maintained while being aware of the principle of public access.

QUALIFICATIONS

The role of administrator is a service function for all employees in the workplace, which places high demands on your service orientation. Your ability to collaborate is excellent, making it easy for you to build relationships. You can take responsibility for your tasks and independently drive your processes forward. We expect you to have good IT skills and a well-developed administrative ability.

We are looking for someone who has:

• Completed upper secondary education with a diploma or equivalent
• Current experience in administrative work within public administration
• Experience in record-keeping
• Good computer skills
• Proficient in the Swedish language, both spoken and written

It is an advantage if you have:

• Current experience in administrative work within a government agency
• Current experience in financial administration
• Current experience in archive and document management
