About the job

The role of registrar involves registering cases, training in registration, supporting operations in their digitization efforts, and ensuring the quality of the registration process. The role will gradually shift towards applying regulations in digital document management and ensuring that the agency meets legal requirements.

As a registrar at the Swedish Transport Agency, you are the spider in the web, and together with your colleagues, you ensure that the agency's documents are handled according to applicable legislation regarding the registration and disclosure of public documents. In our unit, we drive a work that means that we at the central registry collaborate across locations to achieve a high level of uniformity and legal certainty. We manage case flows for our main locations Norrköping, Örebro, and Borlänge. You will have a very central role within the agency and gain insight into many different exciting areas.

You will

  • be responsible for ensuring that documents, which are created or received via post or email, are registered and handled according to applicable laws, regulations, and internal procedures
  • perform regular tasks within archives
  • classify documents in accordance with the agency's classification structure
  • receive and handle inquiries from the public regarding the disclosure of public documents
  • train/guide case handlers and groups in registration
  • respond to referrals within your area of work
  • continuously work with quality monitoring and participate in efforts to find new effective working methods.

You must have

  • completed upper secondary education
  • good knowledge/experience of the laws and regulations governing the registration and disclosure of public documents within public administration
  • current experience as a registrar or have worked with case management within public administration
  • very good ability to express yourself well in speech and writing in Swedish
  • good ability to express yourself well in speech and writing in English.

It is meritorious if you also have/are

  • a certified registrar or have other training in document/information management or archives
  • experience in training individuals and groups
  • worked with information security
  • experience in working with quality monitoring/development of case management and registration.

The employment is permanent with placement in Örebro. Appointment according to agreement. We normally apply a probationary period.

Employment with us may involve placement in a security class. A security review with a background check according to the Security Protection Act (2018:585) may therefore be conducted. For some of our tasks in security class, Swedish citizenship is required.

About the Swedish Transport Agency

Number of employees: Approximately 2000.

Areas of operation: The Swedish Transport Agency works to achieve good accessibility, high quality, safe, and environmentally friendly transport within railways, aviation, shipping, and roads. We develop regulations, grant permits, and monitor compliance. With the help of our registers, we work with fees, permits, and ownership changes.

Locations: We have employees in 12 locations across the country. The largest part of the operations is in Borlänge, Norrköping, and Örebro.

The head office is located in Norrköping.

About the Legal Department

The Legal Department consists of five units. The legal units guide and support the agency's various departments in legal matters, and the Registration unit is responsible for registration, reception, and switchboard. We are located in several places. Our main location is Norrköping.

We contribute to a uniform and efficient handling of the Swedish Transport Agency's need for governance and support in legal matters and in linguistic matters within regulation. We provide guidance and support in registration, ad acta and archiving, access card management, visitor reception, and switchboard.
