Temporary Administrative Coordinator

About the Position
As an administrative coordinator in the Secretariat, you will coordinate and manage tasks from the management team and the various department heads within the Environmental and Urban Planning Administration. The tasks will vary depending on the assignment, area of development, and the focus of the organization, making this a fun and varied job. Some tasks are recurring and follow a process, while others are task-oriented and change based on focus and trends. You will be part of a team, but the work is also very independent, and you will play an important role in meeting the needs of our team moving forward.
The Secretariat primarily works on behalf of the management team, and assignments are staffed based on task, competence, and direction. We coordinate the registries and case management of the committees, as well as annual processes and internal controls. We initiate and drive innovation and development, handle information security and GDPR issues, and coordinate larger urban development projects.
Examples of Tasks:
- Coordinate internal preparation forums, meeting structures, annual cycles, and common processes
- Coordinate department management meetings and departmental meetings as support for department heads
- Purchasing, procurement, invoice management, and financial follow-up
- Represent the administration in various assignments, such as continuity management
- Registry and case filing
- Management of routines and internal communication, etc.
About the Workplace
The Environmental and Urban Planning Administration consists of four departments: Building Permits, Land and Exploitation, Environment, and Urban Planning, as well as a secretariat. The administration has about 200 employees with many different specialist competencies. The Secretariat, with eleven employees, provides support to management and operations. The Secretariat primarily works on behalf of the management team, and assignments are staffed based on task, competence, and direction. We work in activity-based premises in Citypassagen, which is directly connected to the Travel Center and close to the city.

Qualifications
To be suitable for the job, you need to be able to work independently with a high degree of initiative and a structured approach. You will work in several different processes, which requires flexibility and good collaboration skills. In your coordinating role, it is essential that you can capture questions, initiate and clarify assignments, and then implement and translate them into practice. Since you will be working with many different stakeholders, a good ability to express yourself well in Swedish, both verbally and in writing, is required. As the work involves working in digital systems, you are expected to have very good digital competence.

Requirements:
- Higher education/university degree of at least 180 credits in public administration and management, law, social sciences, or another direction deemed relevant by the employer
- Experience in case management, information security, and GDPR issues
- Knowledge of public administration
Desirable:
- Experience and/or knowledge of the environmental and community building sector
Scope and Start Date

Start date: By agreement until February 28, 2027

Interviews are planned to be held together with the recruiting manager and HR at Citypassagen during week 6.
