We are looking for someone who:

Future People is now seeking a structured and self-driven project administrator with primary responsibility for document management for a large infrastructure project within public transport. In this role, you will be a central function in the project organization with many points of contact, both internally and externally.

The administrator is the spider in the web and should assist the client while contributing to streamlining the work by supporting the project's employees and adhering to the existing structure. The role requires good prioritization skills, experience in handling many parallel tasks, and a clear sense of responsibility for the project's document management.

About the role Primary responsibility for all document management in the project, including the document management system Avima.

  • Ensure that the project has the necessary procedures for document management.

  • Be responsible for and carry out all filing of project documentation.

  • Inform and train project members in document management.

  • Ensure that the project complies with laws and guidelines regarding document management.

  • Be responsible for the project's case structure in EDIT.

  • Contact person for the registrar and archivist.

  • Be responsible for administrative processes during individual activities such as consultations.

  • Collaborate with data coordinators regarding the management of folder structures and naming in Avima.

Requirements

  • University degree or equivalent vocational education of at least 3 years.

  • At least 4 years of experience working with document coordination in projects/programs within public administration.

  • At least 4 years of experience working with filing/document management systems.

  • At least 5 years of experience working as a program/project administrator.
