About the job

At the Transport Agency, we have a common switchboard and we are located in three places: Borlänge, Norrköping, and Örebro.

In the role of telephone operator/receptionist, your tasks will primarily consist of regular duties such as receiving visitors, forwarding calls, selected registration tasks, and other administrative tasks that may vary over time. You may also be responsible for administrative special assignments for shorter or longer periods.

The tasks are scheduled, and everyone in the team does everything. You need to be flexible and enjoy quickly switching between different tasks. You are an important person as you receive our visitors and ensure that both our internal and external guests always feel welcome.

Your working hours will be between 08:00 and 16:30. Our reception is open every weekday between 10:00-12:00. In the switchboard, we take calls from 09:00-16:00 Monday-Thursday and Friday 09:00-13:00.

You will

  • be the face of the Transport Agency and work with customer meetings
  • via phone
  • via visits in our reception
  • perform certain administrative tasks
  • handle access cards and other relevant tasks.

You must have

  • completed secondary education
  • current experience, for at least one year, working as a switchboard operator
  • current experience working with administrative tasks
  • very good ability to express yourself verbally and in writing in Swedish
  • very good ability to express yourself verbally in English.

It is advantageous if you also have

  • current experience from Telia's telephone system ACE interact or similar switchboard systems
  • current experience working as a receptionist
  • experience working with record-keeping
  • experience handling access cards
  • experience working in government administration.

The employment is permanent with a degree of employment of 90%.

Placement at the office in Borlänge.

Appointment according to agreement.

We normally apply a probationary employment. As an employee with us, there is an opportunity to work remotely. It is the needs of the business and the nature of the tasks that determine whether and to what extent it is possible. An employment with us may involve placement in a security class. A security review with a background check according to the Security Protection Act (2018:585) may therefore be conducted. For some of our tasks in the security class, Swedish citizenship is required.

About the Transport Agency

Number of employees: Approximately 2000.

Areas of operation: The Transport Agency works to achieve good accessibility, high quality, safe and environmentally friendly transport within railways, aviation, shipping, and roads. We develop regulations, grant permits, and monitor compliance. With the help of our registers, we work with fees, permits, and ownership changes.

Locations: We have employees in 12 locations across the country. The largest part of the operations is in Borlänge, Norrköping, and Örebro.

The headquarters is located in Norrköping.

About the Legal Department

The Legal Department consists of five units. The legal units guide and support the agency's various departments in legal matters, and the Registration unit is responsible for registration, reception, and switchboard. We are located in several places. Our main location is Norrköping.

We contribute to a uniform and efficient handling of the Transport Agency's need for guidance and support in legal matters and in linguistic matters within regulation. We provide guidance and support in record-keeping, ad acta and archiving, access card management, visitor reception, and switchboard.
