The operational area (VO) ambulance is responsible for ambulance services in northwestern and southwestern Skåne with ambulance stations in ten locations. The ambulance service in Region Skåne has developed into a regionally equal operation, with cooperation across previous county borders, limitless dispatching, common treatment guidelines, and shared competence development. The operational area comprises approximately 450 employees.

JOB RESPONSIBILITIES

As an executive secretary, you will provide administrative support to the operations manager and the management team of the organization. You will have a central, responsible, and varied position at the core of the operation where you will be part of the management team.

Your tasks include assisting the operations manager with planning, preparing for meetings, taking meeting minutes, and managing documentation. You will also be responsible for qualified administrative tasks such as the operational area's document portal, publishing on our intranet, document management, and compiling statistics. Other common tasks include some invoice management and the design and editing of reports and presentations. Additionally, you will book travel and meetings as needed. Beyond the tasks directly related to the executive secretary role, there are several overarching administrative tasks.

QUALIFICATIONS

We welcome you who have completed and approved secondary education. If you have post-secondary further education with a focus on administration, health and medical care administration, or another relevant field, it is an advantage. You have broad and fundamental administrative competence with previous work experience in administration, preferably as an executive secretary. Furthermore, you have good computer skills, skillfully handling all components of the Microsoft Office suite, as well as IT systems relevant to the position within Region Skåne. You have good knowledge of the Swedish language in both speech and writing.

It is important that you are meticulous, unpretentious, and can see things from a holistic perspective. Furthermore, we are looking for someone who is both independent and cooperative and has the ability to stay one step ahead. The tasks also require integrity and discretion, while you have a social aptitude. You are accommodating, proactive, and can prioritize between different tasks. Great emphasis is placed on personal suitability.
