Administrator for a 6-Month Temporary Position

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Do you want to be an important part of our administrative team? We are now looking for a meticulous and driven administrator for a 6-month temporary position to cover a leave of absence. In this role, you will, together with a colleague, be responsible for a range of administrative tasks at our office and contribute to an efficient and well-functioning work environment.

RESPONSIBILITIES

Your main task is to support both the regional manager and other regionally placed staff in administrative matters. The tasks include filing in the Platina system, registering information in other administrative support systems, archiving, case monitoring, mail handling, orders, purchases, and invoice management. You will also be responsible for preparing summons, agendas, and taking minutes at regional meetings.

As an administrator, you will have a registrar function that provides advice, support, and training at the local level regarding filing issues. As an administrator at the regional office, you play an important service role. The administrator function must always be staffed during office hours on weekdays, and the tasks include office support to the regional management in the form of a contact person with HQ on various issues as well as receiving visitors. Daily monitoring of phone, email, fax, and oversight of premises, equipment, and some technical support are also included in the tasks. The needs of the operation and specific assignments from the regional manager will influence the more detailed distribution of tasks within the area of responsibility. You will share the responsibility with another administrator at the regional office.

QUALIFICATIONS

As an administrator at the Regional Office in Härnösand, you need to have experience in administrative work, preferably from the Swedish Prison and Probation Service or another authority.

You will support both the regional manager and other regionally placed staff in administrative matters, which means you need to have a high level of collaboration skills and be quality-conscious. The position is broad with many different tasks, which requires you to be structured and self-driven as well as clear in your communication. You are also flexible and can easily adapt to changing circumstances and find solutions in emerging situations.

We are looking for someone who has:

• A high school education or other education combined with experience that the employer deems relevant.
• Work experience in administrative tasks.
• Very good knowledge of Swedish, both spoken and written.
• Good computer skills and proficiency in office programs.

It is an advantage if you have:

• Experience working in administration within the Swedish Prison and Probation Service or another equivalent employer.
• Experience as a registrar and in filing.
• Post-secondary education in administration.
