The Role of Committee Secretary
We are now looking for two committee secretaries who want to become an important part of our administrative and committee functions.
As a committee secretary, you have a central role in supporting one of the municipality's two major committees and work either with the Care sector or the Education sector.
The role involves close collaboration with both administration, elected officials, and residents, which places high demands on your ability to create good relationships, communicate clearly, and act professionally at all levels. You are an important link that contributes to ensuring that our case management is legally secure, structured, and accessible.
You work closely with the municipal secretary and colleagues in the team, and you will have a role that combines operational, strategic, and consultative work. Here you are offered breadth, responsibility, and the opportunity to influence the development of the municipality's administrative processes.
Your Responsibilities
Your tasks include:
- Taking primary responsibility for committee administration within your sector – summons, case preparation, minutes, and meeting administration.
- Providing legal and administrative support to case officers and managers in the work with decision-making materials.
- Acting as a legal controller in the political case preparation.
- Managing record-keeping and document and information management in digital systems.
- Making documents and information accessible through the municipality's digital channels.
- Quality assuring, developing, and streamlining committee administrative processes together with colleagues in the team.
- Participating in the municipality's preparations for election administration and contributing during implementation.
- Taking on investigative assignments and other administrative tasks as needed.
Here you will have a central role in the municipality's democratic core activities.
We are looking for someone who
- Has a good ability to collaborate and thrives in a role with many contact surfaces. You can switch between working closely with the administration's case officers and managers, providing support to the politicians, and meeting residents with a professional and service-oriented attitude.
- Communicates clearly and pedagogically, both verbally and in writing, and adapts your approach according to the recipient and situation.
- Is attentive, relationship-building, and confident in the role as a neutral and cohesive function between operations and politics.
- Has an academic education in public administration, law, political science, social sciences, or a corresponding academic degree that the employer deems relevant.
- Is structured, meticulous, and used to creating order in complex information.
- Has good digital competence and experience with IT systems, preferably document or case management.
- Enjoys working independently but also actively contributes to the team's shared responsibility.
Meritorious
- Experience in committee administration or work within municipal operations.
- Knowledge of the Local Government Act, the Administrative Procedure Act, and the principles of public access and confidentiality.
- Experience in registration, case preparation, or election administration.
- Experience with the record-keeping system Evolution or similar.
