About the Workplace

The Culture Administration works for a broad arts and cultural life for everyone to participate in.

We strive for a sustainable and open city that places culture and art at the center. The Culture Administration has about 800 employees who mainly operate within libraries, cultural centers, museums, and other cultural activities.

Job Responsibilities

The Personnel Unit is part of the HR department and serves as a consolidated support function for the entire administration. The unit consists of HR coordinators and personnel administrators who together provide professional, coordinated, and legally secure support to managers and employees throughout the payroll administrative process. We work based on three common goals: correct salary on time, it should be easy to do the right thing, and we provide service that creates security and trust.

Service is a central part of our mission and permeates our entire way of working. In this role, you will meet both managers and employees, and your ability to create security, be clear, and provide a good reception is crucial for the process to function well. As a personnel administrator, you contribute to order, quality, and trust by providing support that is accessible, professional, and tailored to the needs of the organization.

You will work operationally with payroll and personnel administrative tasks in close collaboration with HR coordinators, managers, and other support functions. You play an important role in ensuring that the process functions correctly through manual checks, reconciliations, and administration according to established routines.

Your responsibilities include:

  • preparation and review of employment contracts and payroll reports prior to payroll processing
  • reporting hours and managing absences, placements, schedule registrations, vacations, and flexible working hours
  • handling of supplements and corrections to support
  • management and approval of fees
  • introduction of new employees in the applicable system support
  • work with scheduling
  • office coordination for our activity-based workplace at Östra Hamngatan 16

You will work closely with colleagues in the Personnel Unit and contribute to a good and supportive work environment. The role is characterized by recurring deadlines and periods of higher tempo, where structure, accuracy, and good service are crucial for us to achieve our common goals. You will be part of the unit's work with preventive and proactive approaches and contribute to developing our routines and support materials.

We offer a hybrid work model where you can partially work from a location other than the office, depending on the needs of the organization and the nature of the tasks. Our workplace is located in modern activity-based premises on Östra Hamngatan, with good transport connections.

Qualifications

You have a post-secondary education in human resources, labor science, or another education that the employer deems equivalent. You have experience working in the payroll administrative process, for example, by writing and managing employment contracts and working with registrations that affect payroll payments. You have experience working in a payroll system, very good system skills, and good knowledge of the Office suite. Experience with scheduling from scratch is a requirement for the role, and it is advantageous if you have worked in Time Care Plan.

To thrive with us, you work carefully and structured and take responsibility for ensuring that your tasks are completed on time and with high quality. You have a service-oriented approach and create security in your contact with managers and employees. You collaborate well with others, contribute to the whole, and easily adapt when working methods develop and improve over time.
