OBJECTIVE
Support customers by providing timely and relevant information, resolving inquiries, addressing complaints, and going the extra mile to ensure customer satisfaction while performing tasks efficiently, professionally, and courteously.
Act as front-line support for customers to ensure they are satisfied with products, services, and features.
Build sustainable relationships of trust through open and interactive communication both internally and externally. Maintain records of customer interactions, process customer orders, physically ship customer orders, and follow communication procedures, guidelines, and policies.
RESPONSIBILITIES
· Respond to email, phone, and fax inquiries from existing and potential customers in an efficient manner.
· Ensure that all customer calls/inquiries are handled within agreed timeframes.
· Log information about received calls; maintain detailed and accurate records through ERP and CRM systems.
· Process orders, physically prepare shipments, return authorizations, and credit memo requests in a timely and accurate manner.
· Identify, resolve, and log customer interactions by collaborating with manufacturing facilities and other internal departments and locations as needed.
· Inventory management
· Create purchase orders
· Prioritize workload, organize your own time to meet deadlines, and respond to inquiries promptly or forward them to the right person.
· Other tasks, special projects as needed
· Will primarily be responsible for our customers in Denmark
QUALIFICATIONS: KNOWLEDGE, SKILLS, AND ABILITIES
· Knowledge of MS Office suite
· Knowledge of customer service skills and practices
· Basic knowledge of Excel
· Ability to use positive language
· Ability to manage multiple priorities simultaneously
· Ability to establish and maintain effective working relationships with colleagues, managers, and customers
· Ability to remain calm, especially under pressure
· Positive interactions with members of the organization
· Time management
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
· Fluent in Danish and English, both spoken and written. Swedish is a plus as this is a Swedish office
· Must have good computer skills and the ability to learn software, e.g., Microsoft Office and other databases (ERP systems)
· Exceptional attention to detail and accuracy
· Strong communication and interpersonal skills
· Strong problem-solving abilities with high energy and adaptability
· Understand and demonstrate BVI's vision and core values
· Calm and consistent demeanor
· Proven ability to work in a consensus environment with cultural sensitivity
· Previous customer service experience is a plus
· Knowledge of the ophthalmic industry or medical device industry is a plus
POSITION
We are looking for a person for 1 position due to parental leave. The position is full-time but part-time (minimum 50%) applications are also welcome and will primarily be from mid-November 2025 to December 31, 2026.
Interviews will be conducted on an ongoing basis.
